Summary
This position will support our Vice President, Communications and External Relations and Director, Advancement. With supporting our two Executives in the Communications Division, this position will have a focus on public policy and fundraising. In alignment with Gift of Life Michigan’s core purpose and core values, the Executive Coordinator is the principal administrative support for the assigned Senior Leader(s), such as schedule coordination, communication assignments, report writing, travel and meeting planning, and other supporting tasks.
Duties & Responsibilities
The following job duties and responsibilities are stated in broad terms and not intended to be inclusive. Those in bold are essential duties of the position:
- Provide administrative support such as maintaining the Senior Leader(s)’ calendar, correspondence, expense reports, travel arrangements, report writing, open and prioritize mail and faxes, schedule meetings and prepare meeting notes and minutes.
- Plan, schedule, and coordinate conference calls and off-site and on-site meetings.
- Primary meeting recorder for assigned board, committee, and division meetings.
- Systematically maintain current board and committee records, including filing and archiving documents.
- Serve as principal administrator for assigned boards and committees in the online board portal. Maintain an accurate calendar of meetings, resources/materials, and board/committee membership, facilitate access to board and committee materials and provide training as needed.
- Serve as the department support for software programs, audio visual equipment, office systems and other shared resources.

- Provide coverage for office assistant positions, as needed.
- Assist in training of administrative support personnel, when requested.
- Support tasks for the assigned department, as instructed by senior leader.
- Perform other duties as assigned.
Qualifications
Education and/or Experience
Required
- High school diploma or equivalent.
- Five years’ progressively responsible administrative work experience
Preferred
- Some college course work in business administration.
- Prior experience in a healthcare organization, transplant center, or organ/tissue procurement organization.
Knowledge, Skills, and Abilities (KSA)
- Written and verbal fluency in English.
- Ability to exercise initiative, critical thinking, and problem-solving.
- Proficiency with Microsoft Office programs, including Outlook and Teams and other technology systems used in business operations.
- Strong organizational skills and ability to manage multiple and competing priorities.
- Demonstrate attention to detail.
- Ability to work independently, under minimal supervision.

Salary : $65,000 - $70,000
