Summary
Reporting to the Vice President, the Executive Assistant will be responsible for carrying out secretarial duties and associated administrative tasks for the office.
Responsibilities:
- Providing administrative assistance, such as writing and editing emails, drafting memos, scheduling meetings, and preparing communications on the Executive’s behalf.
- Responding to correspondence and preparing confidential materials.
- Maintaining comprehensive and accurate records.
- Supporting the Sales/Business Development Team on all creative and communication -related business objectives.
- Assist with managing the VP’s calendar, planning, and coordinating travel and meeting arrangements.
- Answering phone calls in a polite and professional manner, welcoming visitors, and identifying the purpose of their visit before directing them to the appropriate person.
- Liaison with Vendors, communicate company needs, gather quotes – Review & Summary information gathered to be presented to management.
- Ordering and managing inventory of office supplies, and stationary.
- Able to handle multiple projects simultaneously and work efficiently with deadlines.
- Office administrative duties and all other duties assigned.
Requirements:
- High school diploma or GED required.
- At least 1-2 years’ experience in an administrative role – Transportation company related experience considered an asset.
- Excellent oral and written communication skills. Able to write and respond to emails professionally.
- Confident working with all Microsoft Office Suite Products (Outlook, Excel, Word, and PowerPoint)
- Experience with print and digital design; Proficient in Adobe Creative Suite – considered an asset.
- Experience working with computerized graphic design software and programs – considered an asset.
- Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
- Strong attention to detail.
- Very organized, with excellent multi-tasking and problem solving skills.
- Excellent Customer Service skills.
