General Description:
The Clinic Support Specialist is responsible for ensuring that timely and safe care of the highest quality is available to all patients in the Practice. S/he works with and supports the physician in the care of patients in the office, while ensuring that established quality standards are achieved. The Clinic Support Specialist is responsible for providing caring and supportive basic care to clinic patients following established standards and practices. The Clinic Support Specialist is responsible for duties including insurance pre-authorizations, chart management, and medical records. This position also provides information to patients so they may fully utilize and benefit from the clinic’s services. Excellent verbal and written communication skills with the ability to effectively articulate and explain required information to patients. Promotes and adheres to all regulatory and safety standards; OSHA, Joint Commission, Infection Control, HIPPA.

Essential Functions
- Maintains a safe and comfortable therapeutic clinic environment, maintaining clinic and patient confidentiality and quality standards. Work independently with the intent to optimize workload responsibilities and complete tasks in a timely fashion.
- Maintains accurate, legible, and confidential records.
- Contributes to the advancement of the practice and the health of the community by participating in and conducting community outreach programs and classes regarding healthy lifestyle, smoking cessation, and stress reduction.
- Work with Operations Manager to create ongoing practice performance improvements
- Verify insurance status and obtains required documentation.
- Prepare and submit all prior authorization requests, including the delivery of appropriate documentation to the appropriate party at the appropriate time.
- Greets all incoming patients in a friendly and courteous manner.
- Thank all outgoing patients for the opportunity to be their healthcare partner.
- Provide prompt check-out service, including appropriate documentation, as directed by the medical provider and staff.
- Schedule office appointments and hospital follow-up exams. Provide instruction to patients as directed by the medical providers and staff.
- Create and update patient records. Review patient information forms and request missing information for new patients, verify accuracy of information and insurance status for follow-up patients.
- Collects co-pays from patients and accounts for co-pays at day end, as per office policy.
- Answer the telephone in a prompt and courteous manner and provide required information.
- Route clinical questions and emergency calls to the appropriate clinical provider.
- Verify insurance status and obtains required documentation.
- Prepare and submit all prior authorization requests, including the delivery of appropriate documentation to the appropriate party at the appropriate time.
- Prepare and submit all outgoing referrals to specialists, including the delivery of appropriate documentation to the appropriate party at the appropriate time.
- Maintains office files, correspondence, and faxes.
- Additional duties as assigned.
- High School Diploma or GED
- 3 years experience in medical office administrative and clinic setting required; cardiology clinic preferred
- Computer proficiency
- EMR experience preferred
- Ability to work with highly stressed patients in a fast-paced environment, while maintaining a professional
