General Description:
The Clinic Support Specialist is often the first point of contact for patients and referring physicians, and is responsible for the efficient processing and documentation of all patients for the practice. S/he greets and maintains communications with all patients, including all elements of the patient visit from arrival to departure. S/he maintains all clinical support processes, including practice files, forms and procedures, ensuring effective delivery of timely patient care.
Essential Functions:
- Greets all incoming patients in a friendly and courteous manner.
- Thank all outgoing patients for the opportunity to be their healthcare partner.
- Provide prompt check-out service, including appropriate documentation, as directed by the medical provider and staff.
- Maintain a calm and supportive environment for patients and caregivers.
- Work under pressure.
- Pay attention to detail and correct errors as they are discovered.
- Schedule office appointments and hospital follow-up exams. Provide instruction to patients as directed by the medical providers and staff.
- Work independently with the intent to optimize workload responsibilities and complete tasks in a timely fashion.
- Work with Practice Director to create ongoing practice performance improvements.
- Create and update patient records. Review patient information forms and request missing information for new patients, verify accuracy of information and insurance status for follow-up patients.
- Collects co-pays from patients and accounts for co-pays at day end, as per office policy.
- Answer the telephone in a prompt and courteous manner and provide required information.
- Route clinical questions and emergency calls to the appropriate clinical provider.
- Verify insurance status and obtains required documentation.
- Prepare and submit all prior authorization requests, including the delivery of appropriate documentation to the appropriate party at the appropriate time.
- Prepare and submit all outgoing referrals to specialists, including the delivery of appropriate documentation to the appropriate party at the appropriate time.
- Maintains office files, correspondence and faxes.
- Maintains confidentiality of Protected Health Information, and obtains required HIPAA privacy notice documentation.
- Cross train in other areas of clinic practice as part of the clinic network’s staffing support process.
Education and Training Requirements:
- Minimum High School Diploma or GED
- Minimum one year experience in a healthcare setting preferred, medical office preferred.
- EMR experience preferred.
- Strong interpersonal and organizational skills with the ability to maintain a courteous and professional working relationship will patients and staff, even in times of stress and interruption, while at the same time maintaining exceptional attention to detail.
- Proficiency with computers, and comfortable learning new IT applications.
