What are the responsibilities and job description for the Executive Assistant-CNO-HHK-Sacaton position at Gila River Health Care?
Position Summary: Provides all administrative, clerical and secretarial assistance to between one and three senior executives by performing the following duties personally. Responsible for ensuring that all critical tasks are fulfilled on a timely basis.
Critical Tasks:
- Supports the executive(s) in all administrative subject areas in the manner requested by the executive(s).
- Ensures personal clarity of understanding of all information and directions provided by the executive(s) supported.
- Manages executive business calendars and independently schedules appointments.
- Screens incoming calls and correspondence and responds independently when possible.
- Communicates business information to other parties at all levels only with approval by the executive(s).
- Assists other executive assistants and administrative support team members as necessary.
- Ensures confidentiality of all business and enterprise information gathered pursuant to performance of job duties.
- Prepares memorandums outlining and explaining administrative procedures and policies to managers and employees.
- Directs preparation of records such as agenda, notices, minutes, notes, and resolutions for enterprise meetings.
- Prepares confidential correspondence, reports, and other complex documents.
- Creates and maintains database and spreadsheet files.
- Advises supported executive(s) of any observations or information that the executive(s) may find helpful or deem to me necessary to know.
- Arranges occasionally complex and detailed travel plans and itineraries, and compiles documents for travel-related meetings.
- Multitasks on a frequent basis while ensuring that all job performance requires are accomplished daily with high quality.
- Remains apprised of budgetary details and notifies the supported executive(s) of any unusual or positive/negative data trends.
- Represents the enterprise during community projects and at public, social, and business gatherings.
- Generates internal and external publications, including gathering data, writing articles, selecting graphics, designing format of publication, and determining distribution methods.
- Provides support to the Executive Leadership Team by taking and distributing meeting minutes and other information.
- Plans, coordinates, and implements occasional events.
- Demonstrates ability to regularly change priorities to accomplish all tasks despite frequent interruptions.
- Demonstrates ability to clearly communicate, both orally and in writing, while performing all essential functions.
- Performs other special projects and duties as assigned.
Required Qualifications:
- High School diploma, with some college education and/or college degree preferred.
- Two to three years of secretarial and administrative assistant experience, with experience serving senior executive(s) preferred.
- Demonstrated ability to relate to diverse cultures and specifically the Gila River Community and/or other Native American cultures.
- Interest in medical subjects, patient services/care, and customer service.
- Prior medical environment work experience is preferred.
