The Mail and Supply Clerk receives and dispatches all mail and packages from varied sources. This position delivers and retrieves mail for further processing from assigned locations. The Mail and Supply Clerk prepares reports and assists in supporting the operations of internal and external customers.
· Accept and sort mail from the United States Postal Service (USPS), which includes picking up and delivering all USPS mail daily from the Post Office; distribute into assigned mail slots.
· Prepare mail and packages for posting by sorting, weighing, screening, and posting with proper fees; track and log all registered, certified, express, and insured envelopes and/or packages.
· Provide in person delivery and pickup of mail/packages from Community departments and/or programs; assist and coordinate with customers on the best methods of service to ensure safe and proper delivery to addressed recipients.
· Enter data into the mail meter for tracking and billing for each department for proper funds to be processed by either USPS, Federal Express (FedEx), or other shipment providers; issue monthly invoices.
· Maintain mailroom operations and assist customer with needs in postage, mail pickup or delivery, and backup documentation for records management.
· Manage and maintain all mailroom shipping supplies and equipment; manage mail meter funds to ensure sufficient funds to cover main room activities.
· Complete transfer documents of any monetary mail (e.g. checks, money orders, etc.) to the respective offices.
· Perform other related duties as assigned.
· Knowledge in postal regulations and handling procedures.
· Knowledge of mail meters and sorting equipment.
· Knowledge of current United States Postal Service regulations.
· Skill in typing and other clerical skills adequate to meet the demands of assigned duties.
· Ability to lift heavy supplies, equipment and bulky mail.
· Ability to understand and follow verbal and written instructions.
· Ability to work independently.
· Ability to communicate effectively both orally and in writing.
· Ability to work under pressure to meet deadlines.
· Ability to establish and maintain effective working relationships with other employees, Community Officials and the public.
· Ability to perform all physical requirements of the position; agree to maintain a Drug-free workplace.
High School diploma or GED and six (6) months experience in a mailroom, inventory stocking, clerical, or distributing of supplies and material.
· Required to obtain a Tribal Operator’s permit. Valid state driver’s license with a current proof of driving record for the past 39 months will be required to qualify for a tribal driving permit. Proof of driving record must be submitted with application and must not be more than 60 days old from the date of submission of the application.
· Required to pass a background check.
