As a Receptionist/Administrative Assistant at Gilbert Design Build, you will play a key role in delivering a world-class experience for everyone you interact with. Responsibilities
- Answer incoming calls, greet clients in the design center, and direct inquiries to the appropriate individual or department.
- Computer and writing skills to accurately record any required data entry while maintaining organized records and documentation.
- Perform general office tasks to support a productive and organized workspace.
- Provide administrative assistance by preparing reports, correspondence, and presentations.
- Direct client, prospect, colleague, sub or vendor inquiries professionally, with an excellent demeanor that will instill confidence.
- Support various teams as requested by organizing files, maintaining information systems, and assisting with project-related tasks.
- Monitor and restock office supplies to ensure uninterrupted operations.
- Collaborate with staff to identify opportunities for improving office processes and efficiency.
Qualifications
- Proven experience as an administrative assistant, office administrator, office assistant, front office receptionist, or similar role.
- Exceptional organizational skills and the ability to prioritize multiple tasks effectively while maintaining a cheerful attitude
- Effective communication skills to confidently engage with clients and team members.
- Proficiency in computer skills and office software applications (e.g., Microsoft Office, Google Suite, CRMs) and data entry with the ability to learn industry-specific software applications.
- A commitment to providing outstanding office experiences for internal and external environments.
- Strong attention and care to details with the ability to work independently and as part of a team in a dynamic, fast-paced environment.
- Familiarity with calendar management tools and general office systems.
