What are the responsibilities and job description for the Office Services Assistant position at Gilmore Bell?
Gilmore & Bell, P.C., one of the leading public finance law firms in the United States, is seeking a part-time Office Services Assistant to join the team in the Wichita office. The position is part-time with an estimated 25 hours of work required per week. While the hours during the day can be somewhat flexible, we are looking for someone to be in the office 5 days per week during midday (i.e. 9:30-2:30).
RESPONSIBILITIES:
- Answer incoming calls; greet clients and visitors.
- Main point of contact for retrieving and signing for deliveries.
- Complete mail room and overnight package processing to ensure all correspondence is sent and delivered in a timely manner.
- Manage office and paper supplies, including monitoring inventory and ordering as necessary to ensure supplies are available when needed.
- Manage beverage options and kitchen supplies and clean kitchen.
- Assist with in office meetings and events including space set up, setting out food and beverage items, and general clean up after.
- Maintain office printers including monitoring and ordering supplies and scheduling maintenance and repairs.
- Assist with operational and administrative office duties.
- Main point of contact for IT, including performing updates under their direction, tracking assets, etc.
REQUIREMENTS:
- High school diploma or equivalent.
- Proficiency in MS Word, MS Excel and Adobe Acrobat.
- Superior verbal and written communication skills, attention to detail and accuracy of work.
- Ability to interface with all levels of the organization, external clients and suppliers in a professional and confident manner.
- Proven organizational and multi-tasking skills in a fast-paced environment.
- Independent, action-oriented thinker who is able to successfully undertake and complete projects and major tasks with a minimum of supervision.
