Position Summary: Primary responsibilities include grant spend-down management and financial reporting, timely and accurate processing of cash receipts, working with Fund Development in reconciliation of revenue, administering A/P function, corporate purchase card administration, reconciliation of various General Ledger accounts, and processing journal entries in preparation for month/year end close. Perform all work within established guidelines of Council policy, IRS guidelines and Generally Accepted Accounting Principles.
Position Responsibilities:
Grants
- Use independent judgement to manage grant funding by allocating grant expenses amongst programs in order to maximize grant funding.
- Use independent judgement to analyze grant documents to ensure compliance with external grant requirements.
- Conduct complex financial analysis of grant spending trends and present results to Fund Development, Customized Programs, and Programs teams.
- Manage internal processes to track grant expenditures to ensure compliance with funder requirements.
- Analyze internal processes related to grant receivables and expenditures to identify areas of improvement and amend internal processes when needed.
- Prepare grant accounting entries in accordance with GAAP Revenue Recognition standards.
- Prepare budget information for grants, as requested by Fund Development by analyzing general ledger account information.
- Develop and maintain grant expenditure spreadsheets to accurately track grant expenses.
- Prepare monthly/quarterly/annual grant invoices, reimbursement requests, and/or grant financial reports for analysis in grant application process and grant closeout.
Payables/Expenditures
- Maintain general ledger information and review financial transactions by creating and/or monitoring electronic files and/or accounting documents.
- Manage A/P function; responsible for reviewing, coding, and entering, all invoices for appropriate documentation and approval prior to payment.
- Administer the Wells Fargo Corporate Purchase Cards program for 50 staff, and accurately record all resulting expenses in the general ledger.
- Process and generate checks, and EFT’s for all council invoices.
- Manage, review and coordinate monthly auto-drafts payments to the finance department credit card and Bank Account ACH’s
- Maintain vendor/contractor files, ensuring receipt of W-9’s, copies of contracts etc.
- Prepare vendor 1099’s for submission to the IRS.
Receipts/Revenue
- Responsible for accurate depositing, coding, and entering of all council revenues in a timely manner.
- Coordinate with Fund Development staff to perform monthly revenue reconciliation between Abila MIP and Raisers Edge to ensure accuracy in reporting of all council public support.
- Accurately maintain various accounts receivables schedules.
- Process manual credit card transactions.
- Prepare council invoices for all departments.
Other Financial Duties
- Perform complex general ledger account reconciliations and journal entries, such as but not limited to accounts payables, cash receipts, accounts receivable, prepaid insurance allocations, and functional allocations, as required to facilitate month-end/year-end close.
- Use independent judgment to reconcile external grant funding and prepare necessary forms, schedules and other documents for month-end/year-end close.
- Assist the CFO and Accounting Senior Manager in the development of the annual budget.
- Assist the CFO and Accounting Senior Manager in the preparation of various schedules and analyses for the annual audit.
- Assist in the review of troop financial reports.
- Support departments and other customers by developing and maintaining procedural/financial training and/or other information with automated or manual systems.
- Provide back up support to Accounting Senior Manager with regards to treasury functions, monthly close processes, and subsystem reconciliations.
- Perform cross-training functions as needed.
- Perform other duties as assigned.
- Consistently present Girl Scouts of Central Texas in a positive manner and adheres to established guidelines and procedures.
- Support the council in annual giving and/or United Way to help to achieve desired 100% participation.
Position Requirements:
- Degree in Accounting or Finance and 2-3 Years of practical experience in accounts receivables, accounts payables, and/or grant accounting
- Knowledge of Accounting theory, concepts, and practices applicable to FASB & GAAP accounting requirements/standards
- Strong mathematical and analytical skills for monitoring accounting records and resolving accounting problems.
- Advanced Microsoft Excel Skills
- Demonstrate good customer service, time management, organizational skills, and consistency in productive work habits.
- Computer literate with ability to utilize word processing, spreadsheet, and other specialized software.
- MIP experience preferred.
- Able to establish work priorities.
- Knowledge of Girl Scout policies and processes is helpful.
- Ability to make a commitment to the philosophy of Girl Scouts, both nationally and locally.
- Membership in GSUSA.
Physical Requirements:
- Frequent sitting, standing, walking, bending and twisting upper body.
- Capable of lifting up to 30lbs.
- Capable of viewing computer monitor for long periods.
Environmental Demands:
- Continuous indoor activity and exposure to florescent light.
- Frequent exposure to computer, video, and other copier emissions.
- Some outdoor activities and exposure to weather.
Other Working Conditions:
· Continuous requirement for professional demeanor and appropriate office attire.
