Overview
We are seeking a motivated and detail-oriented Marketing Assistant to join our team. The ideal candidate will play a crucial role in supporting our marketing efforts aimed at increasing admissions. This position involves monitoring emails, responding to inquiries, reviewing reports, troubleshooting issues, and providing exceptional customer service to referral sources. The Marketing Assistant will work closely with the Patient Care Advocate and maintain effective communication within the facility.
Purpose of the Position
The primary purpose of the Marketing Assistant role is to support the marketing team in increasing admissions through effective communication, timely responses, and efficient handling of referral sources. This position is essential in ensuring a smooth admission process and enhancing the overall customer experience.
Key Responsibilities
  • Email Management
  • Monitor and manage incoming emails related to admissions and referrals.
  • Respond appropriately to inquiries in a timely manner, ensuring all communication is professional and informative in real time
  • Report Review
  • Review pending, admitted and NTUC reports to ensure that cases are being scheduled and opened promptly- Report updated to referral sources.
  • Identify and troubleshoot any issues that may arise and work with relevant teams to resolve them.
  • Referral Source Support
  • Assist referral sources with questions and provide necessary information to facilitate the admission process and healthy relationships in real time
  • Maintain positive relationships with community referral sources and act as a point of contact for inquiries
  • Productivity Logging
  • Maintain accurate logs of productivity metrics related to admissions and referrals.
  • Track and report on key performance indicators to support the team’s efforts in increasing admissions.
  • Collateral Preparation
  • Support the preparation of marketing collateral for the assigned Patient Care Advocate.
  • Assist in printing and preparing materials that promote the facility's services and enhance community outreach.
  • Communication and Customer Service
  • Ensure effective communication between the marketing team and other departments within the facility.
  • Provide excellent customer service to both internal and external stakeholders, addressing concerns and inquiries promptly.
  • Calendar Coordination:
  • Schedule and coordinate calendar invites for meetings and events.
  • Assist in organizing marketing events and promotional activities.
  • Additional responsibilities as needed
Qualifications
  • Experience in Marketing, Communications, Business, or a related field (preferred).
  • Previous experience in a marketing or administrative role is a plus.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and email management systems.
  • Ability to work collaboratively in a team environment.
  • Ability to self-direct
  • Customer service-oriented mindset with a proactive approach to problem-solving.
Salary: $26 - $28/HR - Based on Experience
