Position Title: Program Coordinator

Reports to: Manager/Director

Classification: Non-exempt 24 hours a week

Location: Kalamazoo, Michigan

Position Overview

The Program Coordinator plays a vital role in managing specific components of the Girls on the Run program, such as coordinating volunteers, tracking participant progress, site management, registration, coach support and event coordination. and ensuring smooth operations at different program locations.

Key Responsibilities

· Program Management & Support

o Oversee participant registration, communication, and data management using Pinwheel (CRM system).

o Manage financial assistance policies and coordinate related processes.

o Communicate with parents, volunteers, and school personnel to ensure smooth program execution.

o Assist in program supply preparation and coordinate distribution of team materials.

· Outreach & Site Coordination

o Attend community events and collaborate with site liaisons to implement the program at schools.

o Support outreach efforts to recruit new program participants and volunteers.

o Respond to general inquiries via email and phone.

· Coach Support & Training

o Assist with the recruitment, training, and retention of volunteer coaches.

o Co-facilitate coach training sessions and support coach appreciation initiatives.

o Ensure all coaches meet CPR/First Aid and concussion training requirements.

o Provide ongoing support to coaches, including troubleshooting during the program season.

· Event Coordination & 5K Support

o Assist with the planning and execution of key program events, especially the 5K.

o Support the 5K planning team with logistics, registration, and event-day coordination.

o Coordinate with the Event Coordinator for the 5K Coach Meeting.

· Administrative & Budgetary Support

o Assist the Executive Director with budgeting and program expense tracking.

o Set up and manage program events in the CRM system.

o Ensure the accurate collection of program data, such as participant numbers and revenue.

Qualifications

· Required

o Enthusiasm for the mission of Girls on the Run.

o BA/BS or 2-3 years of relevant experience in program management, youth development, or education.

o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

o Strong communication skills (verbal and written).

o Strong organizational skills with the ability to multitask and prioritize.

o Ability to work independently, manage time effectively, and maintain attention to detail.

o Ability to travel within Kalamazoo area using a personal vehicle (valid driver’s license required).

· Preferred:

o Customer service and non-profit experience.

o Experience with Girls on the Run or similar youth programs.

o Background in coaching, volunteer management, or education.

Work Environment & Physical Demands

· A collaborative, flexible work environment with some evening and weekend availability required.

· You must be able to lift 20-30 pounds for event-related tasks and be on the phone for extended periods.

· Ability to sit, stand, and move for extended periods during program events.

Compensation and Hours:

· Hourly rate: $18-$20/hour.

· Schedule: Monday - Thursday, 9 AM - 3 PM (6-hour shifts), with occasional evening on-call responsibilities. during the program season (March – May).
