Description : Job Summary :

The Implementation Manager will work with the Broker / Group on all Direct, Hybrid and TPA cases (new and transitions onto the Platform). The Implementation Manager will ensure all Benefit Administration sites are set up and functioning correctly. They will also confirm implementation has been completed with the Carrier and Boon Chapman. The Implementation Manager will work with the Broker / Group through the first invoice and successfully hand-off each case to the Customer Service Team.

Duties / Responsibilities :

Pre-Implementation

  • Receive NOS and designate which Implementation Manager will be assigned to the case
  • Conduct a kick-off call with GIS Sales Representative and Broker / Group to review the sold case (rule of thumb : 50 , but also set up calls based on case size, complexity, and broker relationship)
  • The Implementation Manager will provide the Broker / Group with an “Implementation Timeline”
  • Confirm OE dates
  • Confirm all sold plan designs and rates
  • Confirm if anything additional should be added or built in the Benefits Administration system
  • If Boon Chapman or Patra is to manage medical eligibility, the Implementation Specialist will review the MEM process
  • If Boon Chapman is to manage COBRA, the Implementation Specialist will review the COBRA process
  • Request the following from the Carriers
  • Employer paperwork
  • Final sold proposal
  • Benefit Summaries – review for accuracy once received
  • Send the following to the Broker / Group
  • Employer paperwork – prefilled if possible
  • Benefit Summaries
  • GIS Checklist (if applicable)
  • TPA Agreements (if applicable)
  • Collect the following items from the Broker / Group
  • Employer paperwork
  • Benefit Summaries
  • GIS Checklist (if applicable)
  • TPA Agreements (if applicable)
  • If Personalized Enrollment Forms are needed, the Implementation Manager will complete and review for accuracy prior to sending out to the Broker / Group

Benefit Administration Systems

  • Gather case essentials and send case to the Build Team
  • Review and test the site for accuracy
  • Provide the Broker / Group with test employees
  • Have the Broker / Group sign the “Site Authorization” form prior to releasing the site to begin OE
  • During Implementation

  • Provide Broker / Group with enrollment status reports (Scheduled Reports)
  • Review status reports for missing / bad data (missing addresses, occupations, participation requirements)
  • Boon Chapman

  • Complete the pre-liminary and final SGS within Insight
  • Upload all TPA Agreements into Insight
  • Orchestrate all training calls as needed :
  • Billing
  • COBRA
  • Flex
  • Provide Boon Chapman’s Account Owner with open enrollment details
  • Confirm with Boon Chapman’s Account Owner once enrollment has been completed
  • Confirm the first invoice has been posted
  • Confirm the admin kit has been sent and posted in Insight
  • Carrier Implementation

  • Provide all carrier paperwork and enrollment censuses to carrier
  • Ensure carrier is working each case in a timely manner
  • Receive and send the Welcome Letter to the Broker / Group
  • Confirm if ID Cards will be provided to the group and in which manner they will be sent
  • Receive all plan certificates and review for accuracy
  • Send all plan certificates to the Broker / Group and add to Benefits Administration systems
  • Post-Implementation

  • Close down Benefits Administration systems
  • Provide Broker / Group with all pending EOI requests and confirm where completed EOI forms can be sent
  • Provide an updated Payroll Deduction Report
  • Provide a Plan Enrollment Report for Medical and / or other benefits that we do not manage eligibility for
  • Review Benefits Administration system to ensure all items are in place :
  • Group / policy numbers
  • Benefit summaries
  • Benefit certificates
  • Connections
  • Project manage system connection projects from start to finish
  • Including but not limited system connections between GIS licensed benefit administrations system and to payroll, TPA, HRIS systems
  • Review Shared Drive to ensure all items are in place :
  • GIS Checklist
  • Sold proposals
  • Employer paperwork
  • Benefit summaries
  • Benefit certificates
  • TPA Agreements
  • Rate templates
  • All Medical information and summaries
  • Direct Cases
  • The Implementation Manager will complete the SGS and send to the Finance Team each month
  • Request the first invoice and send to the Client Executive with sold case details to update the book of business
  • Customer Service hand-off
  • Reach out to the Broker / Group to schedule a training call with the group
  • Introduce the Client Executive and Customer Service Team
  • The Implementation Manager will conduct the training call
  • Finalize the Implementation spreadsheet to be sure all fields are complete and annual premium is added
  • May need to be involved in a case during the year if :

  • Rate discrepancies are found
  • Structures were not correctly built during implementation
  • Requirements :

    Required Skills / Abilities :

  • College graduate or equivalent
  • Previous group insurance experience preferred
  • Previous experience working with benefits administration systems preferred
  • Previous administrative experience preferred
  • Knowledge of Carrier Eligibility system requirements preferred
  • Knowledge of business correspondence, filing and general office procedures
  • Knowledge of Microsoft Office programs, specifically Excel and Outlook
  • Skill in interpersonal and written communication
  • Skill in critical thinking, problem analysis and process documentation
  • Skill in following tasks through to completion
  • Skill in Project Management
  • Ability to accurately compile data and perform detailed work
  • Ability to meet deadlines
  • Ability to multi-task
  • Ability to maintain confidentiality of material and information
  • Bachelor's degree with focus in a business related field. BA or BS required.
  • This position is highly deadline-driven. This role demands a strong focus on meeting deadlines.
  • Physical Requirements :

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to life up to 15 pounds at times.
