Job Responsibilities and Tasks:
- Report to the Director of Warehouse Operations
- Manage daily administrative tasks, including answering phones, scheduling, and organizing documents.
- Coordinate team meetings and events and prepare agendas.
- Assist in project management by tracking deadlines and facilitating communication.
- Liaise with vendors and clients, providing excellent customer service.
- Maintain office supplies and manage inventory.
- Calendar management: Scheduling appointments, meetings, and managing executives' schedules
- Communication management: Answering phone calls, responding to emails, and handling incoming/outgoing mail
- Document preparation: Drafting letters, memos, reports, and presentations
- File management: Maintaining organized filing systems, both physical and electronic
- Travel arrangements: Coordinating travel logistics for staff
- Meeting coordination: Preparing agendas, taking meeting minutes, and distributing materials
- Office supplies management: Ordering and maintaining inventory of office supplies
- Reception duties: Greeting visitors and providing basic customer service
- Data entry: Updating spreadsheets and databases with relevant information
- Project support: Assisting with administrative tasks related to specific projects
Required Skills and Qualifications:
- Proven experience as an administrative assistant or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; associate or bachelor’s degree preferred.
Salary: $43,680 – $52,000 annually, based on experience and qualifications.
