Must be able to work 10am - 7pm
ESSENTIAL FUNCTIONS:
- Performs daily pantry checks at set intervals throughout the day to restock supplies as necessary.
- Checks conference room calendar daily and provides completed schedule to Site Manager.
- Completes meeting/even set-ups according to scheduled meeting needs/requirements.
- Performs final inspection/walk-through of rooms at designated time-frame prior to meeting/event for proper conformance to client needs and desires.
- Performs necessary clean-up of rooms after meeting/event including restocking supplies, removing trash, sweeping/vacuuming, and cleaning sinks, countertops and refrigerators, as applicable. Checks and cleans private bathrooms as needed; ensures supplies are stocked
Other Duties:
1. Conducts inventory, orders and stocks office and kitchen supplies.
2. Maintains kitchens and conference rooms and restocks supplies when necessary.
3. Set-up and breakdown of conference rooms for meetings, including audio/visual if needed.
4. Assists with setting up offices for new hires. Ensures visiting offices are cleaned and setup.
5. Assists IT with troubleshooting non-complex IT issues.
6. Assists with office moves and changes, including setting-up computer hardware and phone extensions.
7. Coordinates and handles copy projects, print jobs, binding projects and scanning.
8. Collects and distributes mail. Posts outgoing mail and creates Fed Ex labels for outgoing shipments.
9. Maintains the postage machine and all copiers and printers, to include adding paper and toner cartridges.
10. Identifies vendors to service and perform maintenance on speaker phones, projectors, screens and equipment.
11. Coordinates minor leasehold improvements and repairs, under the direction of the Office Administrator/Supervisor.
12. Assists and acts as back up for Receptionist relief.
13. Assists and acts as back up for ordering catering for meetings.
14. Provides training to new and existing employees on all office equipment.

Qualifications Knowledge/Experience
At least 1 year of Hospitality or Catering Serving experience is preferred.
Office Services experience is also preferred but we can train.
Experience working within a law firm or professional services environment is preferred.
A broad range of technical ability, with a demonstrated aptitude and willingness to learn new software/applications is preferred for this position.
Skills The Office Services Coordinator must be proficient with Microsoft Office Applications, detailed oriented, and a self-starter.
The individual must possess strong client focus, as well as strong written and verbal communication skills, with the ability to work both individually and as a member of a team.
The ability to work with many different types of personalities at all levels of the organization is a must. A sense of "urgency" is of utmost importance.
Must be flexible and able to accurately prioritize workload and adapt to change quickly. Strong organizational skills and prioritization skills are required.
Education
The Office Services Coordinator must possess a high school diploma or equivalent. Physical Demands Must be able to move around the office up to 70% of the time to make copies, maintain printers, distributemail.etc.This position sets-up, operates, and troubleshoots computers and other office productivity machines (e.g., copier, printer, etc.) on a regular basis. Occasionally required to move documents, files, boxes of copy paper, tables and chairs weighing up to 40 Ibs.
This position requires constant communication and exchange of information with the Office Administrator/Supervisor, Firm attorneys, clients and staff.
This position must be able to inspect and observe information on a computer screen at least 30% of the time.
Working Conditions Office environment.
Occasional overtime may be required.
