Job Summary
The Scheduling Coordinator is usually the first person our patients come in contact with, as they is the main hub for communications coming into and leaving the office.
The Scheduling Coordinator uses excellent verbal and people skills. Our main goal is to deliver superb customer service while meeting the practice’s needs. Our tone is always warm and concerned, exclusively with the caller. Be the best part of your patient’s day!
Responsibilities and Duties
The Scheduling Coordinator will meet all of the new patients/parents as they enter the office. The Scheduling Coordinator will: Sweep people off their feet Be the best part of their patient’s day Offer coffee, water or hot chocolate to the patients/parents Visit with the patients/parents Keep the reception area clean and comfortable
The Scheduling Coordinator will send notes at every opportunity. They will keep an accordion file with: Get Well cards Sympathy cards Congratulation cards Good luck cards
TelephoneThe Scheduling Coordinator will be the first person to answer the phone. Our goal is to answer the phone by the second ring. They will use a “smiling voice” with all of our patients/parents.
Correspondence: The Scheduling Coordinator will call the General Dentist to request x-rays and any additional information that will help take care of the patient’s needs.The Scheduling Coordinator will prepare and mail all of the “Welcome to the Practice” packets. The Scheduling Coordinator will send all primary care requests.The Scheduling Coordinator will forward all New Patient Phone Slips to the Treatment Coordinator for insurance verification and place in a 3-ring binder divided and labeled A-Z. Morning Meeting The Scheduling Coordinator will prepare a daily report for the morning meeting. They will tell the doctor the number of weeks with: Deband Day Long appointments Short appointments New patient exams in the afternoon Doctor is out of the office in six weeks No appointments available the week of _______________________
SchedulingThe Scheduling Coordinator controls and supports the schedule. They verify the schedule and makes any changes or adjustments necessary.
Other Duties:
Making welcome folders.Keeping paperwork stocked for exams folder, phase I vs II explanation, retainer instructions, patient success agreement, etc.Correspondence with general dentists - referrals, new exam, start, debond letters, etc.Scheduling all active patients.Calling, texting, emailing patients who need appointments. A call will be placed first. If no answer, SC will leave a voicemail and immediately follow up with an email or text.Working with the Financial Coordinator to keep financial accounts up to date, monitoring them and contacting delinquent accounts. Changing financial accounts if needed(i.e. changes in insurance).Upload and assign x-rays.Adding every exam patient into Dolphin prior to the exam day.Adding initial exam paperwork to Wave to go over it with the patientSetting up financial accounts for starts who did not begin at their exam date
Working with every type of patient to get them happy!
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 24 per week
