Job Description :
Reporting to the President and CEO, and working with other members of GARP’s senior management team, the Senior Administrative Assistant will provide administrative and organizational support to members of the company’s C-Suite. The position is a shared senior staff resource and will require the successful candidate to develop strong relationships with C-Suite members, to prioritize and coordinate varying assignments, manage varying and multiple daily activities, meetings, and engage in other undertakings as assigned. This role is expected to be performed 30 hours per week.
The Senior Administrative Assistant should enjoy working in an entrepreneurial environment that is results oriented. The ideal individual should exercise good judgment, have strong verbal communication, administrative, presentation, and organizational skills.
Roles and Responsibilities :
Completes a broad variety of administrative tasks for C-Suite members, including but not limited to the following :
- Coordinate and support as necessary internal and external meetings
- Prepare meeting rooms as necessary
- Develop as required, and make copies of presentations, correspondence, or other materials
- On occasion coordinate and maintain travel schedules and reservations.
- Assist with scheduling, billing, filing, copyright certificates, and administrative activities relating to the contracts database for the office of the General Counsel
- Participate in development of SME database
- Drop Box / file management cleanup
- Curate and maintain a list of conferences, workshops, etc. for the BD team
- Assist in study administration, entering study information, participants, and roles in Salesforce
- For the examination and certification group, in consultation with the head of the group support activities such as item writer workshops, practice analysis meetings, FRM and SCR Committee meetings, and other activities
- Help in identifying and securing venues
- Process payments and reimbursements
- Prepare and ship materials
- Order and maintain US lunch benefit
