What are the responsibilities and job description for the Administrative Assistant/Receptionist (English/Spanish) position at Global Healthcare Services?
Description: The Administrative Assistant is responsible for supporting daily office operations including but not limited to internal/external communications with consumers, staff, funders and the general public. S/he is responsible for providing clerical support to Human Resources and Chief Executive Officer. S/he will assist in coordinating record keeping, interoffice mail, scheduling, faxing, filing, and support to coordinators as needed.
Duties:
· Maintain office records including contact lists and filing system required for administrative documents including necessary hard copies and computer files.
· Perform a variety of internet research functions to update and maintain office policies and procedures.
· Manage all incoming calls and coordinate switchboard activities for Global Health Care and Global Home Care Services.
· Prepare, create and modify office documents including but not limited to faxes, forms, letters, memos, emails, flyers, etc.
· Maintain inventory of all office supplies, invoices and order stock as needed.
· Coordinate and manage the schedule of the President/CEO including all reservations, meeting support and communications.
· Coordinate all incoming and outgoing mail including postage, package pick up and drop off as well as deliveries to consumers, staff and other entities.
· Support team atmosphere and assist with project(s) management as assigned.
· Liaise with executive and senior management to handle requests and queries.
· Other duties as assigned
Job Type: Full-time
Pay: $22.00 per hour
