Position Summary :
The Purchasing Coordinator will ensure the timely and efficient delivery of materials and services by maintaining effective communication with vendors, expediting orders, and resolving any issues or delays. The role involves managing procurement processes and supporting the organization's supply chain needs.
Essential Duties and Functions :
- Contact suppliers to ensure on-time deliveries and resolve any potential delays.
- Generate quotes and bids from requisitions and manage sales support-related requests.
- Provide availability and lead-time information to internal stakeholders.
- Enter and issue purchase orders to suppliers via email and other communication channels.
- Collaborate with suppliers to address and solve any delivery or quality issues.
- Ensure accurate information is maintained in the ERP system and assist with reviewing purchase orders for integrity.
- Expedite material orders based on immediate business needs.
- Handle the purchase of Maintenance, Repair, and Operations (MRO) items and office supplies.
- Maintain records of ordered goods and corresponding shipping dates.
- Confirm shipping dates with vendors and monitor shipping notices for potential delivery problems.
- Report significant shipping problems to the purchasing manager.
- Track shipments to identify delays and assign tracers to orders in transit.
- Foster and maintain strong business relationships with suppliers to ensure assistance when expedited shipping is required.
- Regularly update the database with the most current information and use daily reports to ensure timely delivery.
- Comply with company policies and procedures in all tasks.
