This framework delivers a proven return on investment and sees new levels of customer engagement, fully supported by vital business intelligence to enhance profitability.SUMMARY OF JOB SCOPE & RESPONSIBILITIESThis position ensures the smooth flow of information between all stakeholders in the deployment process, including the Vice President of Deployment Services, Service Delivery Managers, Project Coordinators, Project Managers, Operations, Service team members and other key stakeholders throughout the organization.Hourly range: $23 - $27, actual pay will be adjusted based on job-related factors, permitted by law, such as experience and training; education; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.ESSENTIAL JOB FUNCTIONSMonitor Installation inbox to create orders and input data into SmartSheet.Manage changes to systems, including NetSuite, JDE, and SmartSheet (e.g., date changes, address changes, PID changes, etc.).Collaborate with Order Entry and Finance to close entries in SmartSheet once work is completed.Create and manage Purchase Orders in the ERP system. Rigger PO (JDE and NetSuite)Support change management tasks and update Purchase Orders accordingly.Facilitate and drive actions of third-party labor and APM/PM related to:Purchase Order submissionPurchase Order accuracyInvoice reconciliationEnsure third-party labor adheres to business procedures and communicates Purchase Order and invoice-related activities in a timely manner.Facilitate and manage process improvements as required to support business efforts.Provide support to Project Managers on assigned project work.Support may include updating SmartSheet, taking meeting minutes, running project calls, and following up with activity owners.Job duties may involve direct interactions with customers and carrying out tasks independently under the Project Manager's guidance.Compile and run reports as assigned.Develop and maintain written "How to Processes" for various daily tasks.Interact daily with internal customers and peers to support and ensure delivery and installation align with customer expectations.Address issues with process and policy compliance.Look into discrepancies in orders or installations.Verify orders when required.Help manage and coordinate subcontractors.Potentially oversee various aspects of installations.When necessary, inform relevant parties of any potential delays.Carry out other assigned duties.Conduct Contractor Surveys from installations from the day before to Field Service Techs to help monitor 3rd party performance.JOB QUALIFICATIONSEducation & Work Experience: Associate degree in related field or equivalent combination of training and experience Two or more years proven, successful experience in an administrative support role Two or more years proven customer service skillsKnowledge, Skills & Abilities: Advanced computer skills and knowledge in Microsoft Office Suite products including Excel, Work, PowerPoint and Visio Ability and willingness to learn new applications SmartSheet experience preferred Experience with business oriented process flows and procedures Knowledge of project management concepts Excellent organizational, interpersonal, prioritization and problem resolution skills Demonstrated effective verbal and written communication skills Ability to respond effectively to and prioritize competing demands in a fast-paced environment Attention to detail with strong follow up and time management skills Ability to work under pressure and excel at multi-tasking Possesses a positive attitude; is conscientious and responsive Demonstrated ability to maintain professionalism Works well independently, yet is cooperative in working with team assignments and activities Exercises diligence in completing work activities with the willingness to work extra hours if needed Demonstrated versatility and ability to back-up teammates as necessaryBenefits:401k, Health Insurance, MDLive, Dental Insurance, Vision Insurance, FSA/Dependent Care, Voluntary Life Insurance, Basic Life Insurance and AD&D, Short Term Disability, Long Term Disability, Employee Assistance Program, Paid Vacation, Paid Sick Days based on City/State Requirements, Paid Holidays - 9 to 11 - based on start date, Professional Development Assistance, Education Assistance, Adoption Assistance, Legal/ID Theft Plans, Annual Bonus Opportunity, Opportunities for internal promotions/career advancement.Physical Demands and Work EnvironmentSpecific vision abilities required by this job include close vision and ability to adjust focus.
