What are the responsibilities and job description for the Office Administrator position at Goble Property Management?

Overview:

We are seeking a detail-oriented Office Administrator to join our team. The ideal candidate will have at least 5 years of experience running an office, providing support to the managers and employees, and overseeing daily office needs.

Duties:

Run the front desk including but not limited to:

  • Answer and direct phone calls
  • Receive, sort, and distribute mail or packages
  • Greet and assist office visitors or direct them to the appropriate personnel as necessary
  • Reply to email, telephone, or face to face enquiries

Maintain office organization and streamlined communication including but not limited to:

  • Organize and schedule meetings and appointments
  • Maintain contact lists
  • Develop and maintain multiple filing systems (both hard copy and Google Drive)
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Generating and managing data in reports as requested
  • Assist in tenant and property communications such as drafting and issuing tenant notices, responding to enquiries, etc.
  • Assist in the preparation of regularly scheduled reports
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Handle sensitive information in a confidential manner
  • Develop and update administrative systems to make them more efficient

Qualifications:

  • 5 years of proven experience as an office administrator or office assistant
  • Experience in a real estate or property management office a plus
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office, Google Workspace and DocuSign
  • High school diploma or equivalent
