Overview:
We are seeking a detail-oriented Office Administrator to join our team. The ideal candidate will have at least 5 years of experience running an office, providing support to the managers and employees, and overseeing daily office needs.
Duties:
Run the front desk including but not limited to:
- Answer and direct phone calls
- Receive, sort, and distribute mail or packages
- Greet and assist office visitors or direct them to the appropriate personnel as necessary
- Reply to email, telephone, or face to face enquiries
Maintain office organization and streamlined communication including but not limited to:
- Organize and schedule meetings and appointments
- Maintain contact lists
- Develop and maintain multiple filing systems (both hard copy and Google Drive)
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Generating and managing data in reports as requested
- Assist in tenant and property communications such as drafting and issuing tenant notices, responding to enquiries, etc.
- Assist in the preparation of regularly scheduled reports
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Handle sensitive information in a confidential manner
- Develop and update administrative systems to make them more efficient
Qualifications:
- 5 years of proven experience as an office administrator or office assistant
- Experience in a real estate or property management office a plus
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office, Google Workspace and DocuSign
- High school diploma or equivalent
