GbOSS utilizes a skillset as general contractors to assist federal clients and is 8(a) certified.
Summary:
The Administrative Assistant will perform administrative tasks that support the construction business. Providing administrative support to include contacting vendors and subcontractors, mail/email distribution, maintaining office records, travel and badging coordination, ordering and maintaining office supplies, answering telephones, managing office calendars and contact lists, tracking office correspondence, obtaining and maintaining company licenses and registrations as required.

Essential Job Functions:
- Receives visitors (when in office), answer telephone calls and route them to appropriate personnel
- Reviews correspondence and documents prepared for the authorized personnel’s signature for conformance with policy and regulations, as well as for correct grammar and format; obtains clearances, referenced materials, and background information as required; composes non-technical, routine correspondence on own initiative as necessary
- Provide support to the estimating and pre-construction operations to include (but not limited to) receiving RFP’s and Addendums, adding key dates to the master spreadsheet, entering and distributing information to vendors and subcontractors, creating, maintaining, and organizing folders on Sharepoint, creating and updating calendar invitations for milestone dates, request and distribute bonds for bids, coordinate site visits (to include submissions for access and badging), calling subcontractors and vendors to confirm bid status
- Provide support to post-construction operations to include (but not limited to) setting up and maintaining project folders, preparing and distributing subcontract agreements, preparing and distributing purchase order agreements, preparing requests for and distribution of project related documentation, acting as liaison between PM or senior management and owner or owner’s representative as necessary depending on staff availability
- Obtain, track, and maintain company registrations and licenses
- Prepares letters, reports, office instructions, etc., from rough draft or general outline presented by the supervisor. The contractor is responsible for the correct spelling, punctuation, grammar, and format of completed work.
- Performs additional assignments, studies, and special projects at the direction of management
- Perform other duties as assigned
Necessary Skills and Knowledge:
- Knowledge of software packages MICROSOFT OFFICE, OUTLOOK, EXCEL, WORD, and POWERPOINT
- Knowledge of various automated management systems and software packages, including the Department’s ARIBA/ILMS, Web and E2 systems
- Familiarity with Department manuals, circulars, instruction, and directives
Minimum Qualifications:
- Minimum 5 years of relevant experience
- High School diploma or GED
- Travel may be required
- 1-year minimum experience within the design/construction industry
Preferred Qualifications:
- Bachelor's degree in a related field
Pay and Benefits:
The pay range for this position is $26.44 to $28.37 per hour.
