Job Overview
We are seeking a highly organized and proactive Receptionist/Administrative Assistant to join our team. This role is essential in providing administrative support and ensuring the smooth operation of our office. The ideal candidate will possess excellent communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Duties

  • Greet visitors and clients warmly, ensuring a positive first impression of the company.
  • Manage calendar appointments, scheduling meetings, and coordinating logistics for internal and external events.
  • Perform data entry tasks accurately and maintain organized filing systems for easy access to information.
  • Assist with administrative duties such as preparing documents, reports, and correspondence as needed.
  • Handle front desk responsibilities including answering phone calls, responding to inquiries, and directing calls appropriately.
  • Utilize QuickBooks for basic accounting tasks and office management functions.
  • Support team members with various projects and tasks as assigned, acting as a personal assistant when necessary.
  • Maintain office supplies inventory and place orders when necessary to ensure the office runs smoothly.
  • Utilize Google Suite applications for document creation, collaboration, and communication.

Requirements

  • Proven experience in an administrative or receptionist role is preferred.
  • Proficiency in calendar management and office management practices.
  • Familiarity with QuickBooks is a plus but not mandatory; willingness to learn is essential.
  • Strong data entry skills with attention to detail for maintaining accurate records.
  • Excellent verbal and written communication skills to interact effectively with clients and team members.
  • Ability to multitask and prioritize responsibilities in a busy office environment.
  • Proficient in Google Suite applications (Docs, Sheets, Drive) for document management and collaboration.
  • A positive attitude with a customer service-oriented mindset is crucial for this role.
