Job Summary
We are looking for a friendly, organized, and reliable Front Desk Receptionist/Secretary to join our team. This position is essential to creating a welcoming and supportive first impression for our clients and plays a key role in keeping our office running smoothly.
Key Responsibilities
- Greet clients and visitors with professionalism and warmth
- Assist with client needs and provide exceptional customer service
- Answer all incoming calls and direct them accordingly
- Respond to voicemails and follow up with missed calls
- Monitor and reply to emails
- Delegate tasks and refer clients to the appropriate staff members
- Initiate the admission process for new clients
- Run insurance Verification of Benefits (VOBs)
- Handle document scanning, shredding, and mail processing
- Keep the office clean, organized, and fully stocked
- Communicate directly with the Office Manager and Intake Coordinator
- Maintain inventory of client packets and ensure all paperwork is printed and ready
- File documents for audits and maintain system organization
- Set up payment plans as needed
- Perform various office duties and run occasional errands
Qualifications
- High school diploma or equivalent (required)
- Previous experience in a front desk, receptionist, or administrative role (preferred)
- Background in healthcare or recovery services is a plus
- Strong communication, multitasking, and organizational skills
- Comfortable with Microsoft Office (Word, Outlook, Excel)
- Professional, compassionate, and client-focused demeanor
- Dependable, punctual, and team-oriented
