Job Overview
We are seeking a highly organized and motivated Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily administrative operations, ensuring smooth communication within the office, and providing excellent customer service. This position requires strong computer literacy, effective phone etiquette, and the ability to manage multiple tasks efficiently.

Responsibilities

  • Manage incoming calls and direct them to the appropriate personnel while maintaining professional phone etiquette.
  • Assist with calendar management, scheduling appointments, and coordinating meetings for team members.
  • Provide administrative support by preparing documents, reports, and correspondence as needed.
  • Maintain organized filing systems and ensure all records are up-to-date and easily accessible.
  • Serve as a point of contact for clients and customers, delivering exceptional customer service and addressing inquiries promptly.
  • Utilize various phone systems to facilitate communication within the office.
  • Support dental receptionist duties by managing patient appointments and maintaining accurate records (if applicable).
  • Collaborate with team members to enhance office efficiency and workflow.
  • Perform additional tasks as assigned to support overall office operations.

Qualifications

  • Proven experience in an administrative role or similar position is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent organizational skills with a keen attention to detail.
  • Ability to manage multiple priorities while maintaining a high level of professionalism.
  • Bilingual skills are a plus, enhancing communication with diverse clientele.
  • Previous experience as a personal assistant or in customer service is advantageous.
  • Familiarity with calendar management tools and administrative processes is desirable.
