Job Summary:
The Front Desk Receptionist at Golfview Nursing Center is responsible for providing excellent customer service to residents, families, staff, and visitors. This role serves as the first point of contact for anyone entering or calling the facility. The receptionist is responsible for handling administrative tasks, ensuring smooth communication, and maintaining a welcoming and professional atmosphere.
Key Responsibilities:
- Customer Service & Communication:
- Greet and assist residents, families, visitors, and staff with warmth and professionalism.
- Answer and direct incoming calls, ensuring timely and accurate responses.
- Provide general information to visitors, families, and callers, including facility policies, directions, and visiting hours.
- Handle inquiries about the facility, services offered, and resident status.
- Administrative Support:
- Maintain and manage the facility’s visitor log, ensuring all visitors sign in and out appropriately for security purposes.
- Schedule appointments, meetings, and tours for visitors or families, and coordinate with relevant departments.
- Assist with preparing and distributing materials for meetings, events, or resident activities.
- Perform clerical duties such as filing, faxing, and organizing documents.
- Assist with managing incoming and outgoing mail and packages.
- Data Entry & Record Management:
- Update and maintain accurate resident information in the facility’s records system.
- Ensure that all documents related to residents, staff, and visitors are filed and kept organized and up-to-date.
- Input visitor, appointment, and meeting schedules into the facility’s calendar system.
- Security & Safety:
- Monitor the security of the facility by ensuring that only authorized personnel and visitors are granted access.
- Maintain a secure front desk area and ensure that doors remain locked when appropriate.
- Assist with emergency protocols if needed, including directing emergency personnel to appropriate areas within the facility.
- Coordination with Other Departments:
- Collaborate with nursing, administrative, and maintenance staff to coordinate resident needs and ensure smooth operations within the facility.
- Notify appropriate staff about visitor arrivals or requests that need attention, such as family inquiries or special resident needs.
- Communicate effectively with the admissions department for incoming resident inquiries or admissions processes.
- Facility Operations Support:
- Assist with managing the facility’s scheduling system for appointments, transportation, and family meetings.
- Ensure that the front desk area remains tidy, organized, and well-stocked with necessary forms, brochures, and other information for visitors.
- Handle basic office equipment and maintain its functionality, including phones, computers, fax machines, and copiers.
- Visitor and Resident Experience:
- Provide a positive first impression of the facility by maintaining a friendly, approachable demeanor.
- Assist visitors with questions or concerns and direct them to appropriate staff members if needed.
- Ensure residents’ families are kept informed about visitation policies and ensure compliance with any facility-specific guidelines.
Qualifications:
Education:
- High school diploma or equivalent required.
- Additional certification in office administration, customer service, or related field is a plus.
Experience:
- Minimum of 1-2 years of experience in a front desk or customer service role, preferably in a healthcare or long-term care setting.
- Experience with basic office duties such as data entry, filing, and phone management.
Skills:
- Strong interpersonal and communication skills, with the ability to interact with a variety of people in a professional and friendly manner.
- Ability to multitask and manage a fast-paced, dynamic environment.
- Excellent phone etiquette and the ability to direct calls appropriately.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and facility management software.
- Basic knowledge of medical terminology is a plus.
Physical Requirements:
- Ability to sit or stand for long periods.
- Occasional lifting of up to 25 pounds (e.g., moving files, supplies).

- The Front Desk Receptionist will work primarily at the front desk area, interacting with visitors, staff, and residents.

Job Type: Full-time
Pay: $18.00 - $19.00 per hour
