Responsibilities:
- Greet and welcome patients and visitors in a professional and friendly manner
- Answer phone calls, take messages, and direct calls to the appropriate person or department
- Schedule appointments and maintain the appointment calendar
- Verify patient insurance information and collect co-pays or payments
-Submit prior authorizations and reauthorizations, problem solve denials and communicate with therapists regarding documentation needed.
- Assist with patient registration and check-in process
- Maintain patient records and ensure confidentiality in accordance with HIPAA regulations
- Provide excellent customer service and address patient inquiries or concerns
- Coordinate referrals to other healthcare providers as needed
- Assist with administrative tasks such as filing, faxing, and scanning documents

- Check insurance eligibility
- Answer office phone, cell phone, text messages and help therapists with parent communication requests throughout the day in person and by phone calls.
- Submit prior authorization and check status of submitted prior authorizations
- Fill in open spots on the schedule
- Log when patients cancel or no-show, txt when patient cancels or no-shows
- Call and check on patients when they no-show appointment
- Check faxes
- Log referrals that were received through the fax and add patient to wait list
- Check emails
- Check voicemails
- Scan documents
- Medical records/social security records/Photo release forms
- Send Sooner success, sooner start referrals and other referrals as requested
- Request updated referrals as needed from pcp
- Send new evaluations and re-evaluations to pcp once they are completed
- Email survey when requested by therapist after re-evaluation
- Use the flex schedule for random openings in the schedule
- Schedule new patient evaluations
- Log STATS
- Pick up the waiting room at the end of the da
Skills:
- Bilingual proficiency in English and Spanish is required
- Knowledge of medical terminology and dental receptionist procedures is preferred
- Familiarity with HIPAA regulations and maintaining patient privacy is essential
- Proficiency in office software such as Microsoft Office (Word, Excel, Outlook)
- Experience working with electronic medical record systems
- Strong communication skills, both verbal and written
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize tasks in a fast-paced environment
- Customer service-oriented mindset with a friendly and professional demeanor
