Position Description- 30 hours/week
Reporting directly to the Chief Executive Officer (CEO), the Executive Assistant is responsible for providing comprehensive support to the CEO and Board of Directors under the direction of the CEO and the Directors Team. They will serve as the primary point of contact for internal and external stakeholders on all matters about the CEO's office. The Executive Assistant will also liaise with the Board of Directors, organizing and disseminating Board materials and coordinating executive outreach. This position also manages and coordinates special projects. It is a trusted role with significant responsibility in carrying out the daily work, priorities, and the smooth operations of the CEO's office and Board of Director relations.
Responsibilities
- Complete a wide variety of administrative tasks for the President, including managing an active calendar of appointments; composing and preparing correspondence that may be confidential; completing expense and mileage reports; arranging travel plans when necessary; and compiling documents for the President's meetings.
- Coordinate and ensure the President's schedule is followed and respected
- Serve as the primary point of contact for internal and external constituencies on all matters about the President, including those of a highly confidential or critical nature.
- Coordinate and schedule Board meetings, all staff meetings, and new employee lunches.
- Serve as the board liaison, prepare for and attend all board meetings, and assist in preparing committee meetings, board orientation, and ongoing training.
- I'd appreciate it if you could anticipate and determine an appropriate course of action, referral, or response, exercising judgment to reflect the President's style and the organization's policy.s
- Work with the Directors Team to coordinate the President's outreach activities. Follow up on contacts made by the President to cultivate ongoing relationships.
- Maintain copy and postage machine and serve as the point of contact for issues.
- Manage postage machine
- Opening mail and processing checks, distributing packages
- Manage GCC central calendar
- Coordinate various campaigns and events, i.e., United Way, Toys for Tots, etc.)
- Donor thank you cards
- Order office supplies
- Process incoming mail and packages
- Create and maintain Email and Domain Accounts for staff
- ComEmailNew Staff IT Onboarding, including email, OneDrive, SharePoint, Nametags, and fobs set up.
- Oversee kitchen cleaning assignment chart
- Monitor GCC Info Email, and respond to inquires
- Staff gifEmailirthday cards, flowers, new employee t-shirts, etc.
- Additional duties as assigned

Qualifications
- Minimum 2 years of experience in executive-level support, board relations, project management, and/or events coordination required
- Excellent verbal and written communication skills and judgment with the ability to maintain privacy and confidentiality
- Strong interpersonal skills- demonstrated ability to build relationships
- Exceptional skills in the areas of organization, attention to detail, and time management
- Demonstrated ability to manage multiple projects, define and set priorities, and solve problems.
- Strong computer skills
- Demonstrated team player with strong collaboration abilities
- Ability to take initiative with projects to work independently
