We are currently seeking a Part-Time Office Assistant/Administrator to join our team and play a vital role in supporting the day-to-day operations of our practice. Key Responsibilities:
- Complete administrative tasks and communications within 24 hours
- Verify client insurance eligibility and benefits, liaising with insurance providers, as needed
- Maintain client records in our electronic health records (EHR) system with 100% accuracy and compliance
- Uphold confidentiality of client records in line with privacy regulations
- Process payments and update financial records in the practice’s system
- Coordinate and manage client scheduling, ensuring accuracy and smooth communication
- Provide direct administrative support to the Executive Director, including managing calendars
- Oversee team communications using Slack and email, keeping the team informed and organized
- Support handling inbound phone consultations, answering client inquiries and providing service information
- Support managing outbound service calls and emails, ensuring timely follow-up with clients
- Support marketing initiatives, including managing social media content and drafting email broadcasts
- Assist with logistics for workshops, trainings, and events, ensuring smooth coordination
- Perform other duties as assigned to support the practice
The Ideal Candidate:
- Experience working with diverse populations, including children, adolescents, and adults
- Strong understanding of cultural competency, particularly when working with LGBTQIA , BIPOC, neurodiverse individuals, and people with disabilities
- Proficient with Google Suite (Drive, Docs, Sheets), EHR systems (Theranest), and communication tools like Slack and Gmail
- Familiarity with productivity and marketing platforms such as Monday.com, Kit, and social media (Facebook, Instagram, LinkedIn)
- Excellent organizational, written, and verbal communication skills
- Ability to work independently while also collaborating closely with team members
Education & Qualifications:
- Minimum: Associate’s Degree or relevant coursework in business administration, psychology, healthcare administration, or a related field
- Preferred: Bachelor’s Degree in business administration, psychology, healthcare administration, or a related field
- Proven experience in an administrative role, with skills in scheduling, project management, and office communications
- Ability to start in mid to late March
- Must successfully pass a background check
Preferred Experience:
- At least one year of experience in an administrative role (Office or Executive Assistant experience preferred)
- Bilingual or multilingual candidates are highly desirable
- Familiarity with private practice operations and community resources for client referrals is a plus
Work Environment & Schedule:
- 100% On-Site at Altamonte Springs, FL
- Part-time role with 15-20 hours per week (Monday through Fridays, and some weekends as needed)
Compensation:
$13.00 - $20.00 per hour, based on experience
