The Executive Assistant is responsible for assisting Executive Management (C-Level, VP Level), with meetings, schedules and special projects as needed. This position manages the calendar of the Exective, office flow, and prepares correspondence that is sometimes confidential or senstiive.

RESPONSIBILITY LEVEL :

The Executive Assistant is responsible for assisting Executive Management (C-Level, VP Level), with meetings, schedules and special projects as needed. Develop and execute assigned project work from concept to completion. Implements strategies to achieve the goals for the organization and administriatve office of assigned Executive. Typically works on projects and initiatives that span 3 - 12 months.

PRINCIPAL DUTIES :

1. Project and Change Management : Effectively plans and manages own work to reliably complete routine job responsibilities and special assignments. May serve as a team member or subject matter expert on formal projects or within the department. Effectively engages in change affecting her / him, communicating appropriately with supervisor. Follows through on learning, skill building, and practice necessary to adapt to change.

2. Problem Solving : Light supervision; works independently. Periodic review of work by manager or senior coworker. Solves problems of moderate to advanced complexity; able to identify root cause, interpret data and resolve issues.

3. Technical Skill : Understands and applies professional principles and skills within area of specialization to modify processes to resolve situations.

4. Community Engagement : Champions Goodwill's community engagement initiatives and serves as an ambassador for Goodwill in the wider community.

5. Completes a broad variety of administrative tasks including : managing an extremely active calendar of appointments, preparing correspondence that is sometimes confidential, and completing expense / corporate credit card reports.

6. Compose confidential correspondence, memos, and presentations; revise documents for proper format and proofread for accuracy.

7. Communicates directly and on behalf of the Leader with Board members as required, internal and external customers, vendors, government officials, and community organizations.

8. Researches, prioritizes and follows up on incoming issues and concerns addressed to the Leader, including those of a sensitive or confidential nature. Determines appropriate course of action, referral or response.

9. Create, modify and provide strategic input on correspondence, presentations, spreadsheets, in software systems utilized and other business documents.

10. Coordinate requisitions / purchase orders for vendors, advertisers, sponsorships, office supplies and other expenses, entering them in a marketing tracking sheet that is also used by finance. Filing them as necessary.

11. Participates in key leadership meetings. Assists in developing agendas, action items, follow-up and coordination of logistics.

12. Creates reports, presentations, announcements, speeches and other communications as required from personal initiative and knowledge, verbal direction, depending on the circumstances.

13. Work on special projects as directed.

14. Responsible for completing other duties / responsibilities as assigned.

REQUIREMENTS :

1. Two years of college education or experience equivalency, and a minimum of 3 years' experience.

2. Works well independently, but also flexible enough to be directed at times

3. Ability to communicate clearly and concisely, both verbally and in writing

4. Strong research and analytical skills

5. Willingness to enthusiastically complete both high-level and low-level tasks

6. Must be proficient in Microsoft Office Suite

7. Experience working for senior level management in an administrative position

PHYSICAL / SENSORY DEMANDS :

Remain stationary for extended periods of time, repetitive use of hands and vision required while using computer keyboard and work with electronic information, ability to hear and communicate on phone and in person. Moves about to accomplish tasks.

When determining placement within the salary range for this position Goodwill Greater Milwaukee & Chicago considers education, experience, internal equity, market demands and other qualifying criteria. It is not typical for individuals to be hired at or near the top of the rage for their role and compensation decisions are dependent on facts and circumstances of each case.

Certain roles are eligible to participate in an incentive plan. Participation in this plan does not guarantee an incentive payment and is subject to the terms and conditions of the plan, which are subject to change.
