Description As a complex and growing global enterprise, we have a new opportunity for a Payroll Administrator to join our Finance Department. As the Payroll Administrator you will lead the Payroll Operations including: ensuring the complete, compliant, accurate and timely execution of pay cycles, remittance and reconciliation of tax liabilities and other withholding, collection of time and attendance data, preparation and issuance of tax filings and W-2’s, and reconciliation of payroll-related data. The Payroll Specialist will report directly into the Director, Finance. The position is based in our Boston Corporate Headquarters located in the Back Bay. PRIMARY JOB RESPONSIBILITIES Prepare, review, and process multi-state biweekly US and Canada payroll for exempt and non-exempt employees. Reviews timesheets, wage computation, and other information to detect and reconcile payroll discrepancies. Liaise with Human Resources to verify and confirm employee pay calculations. Liaise with payroll service provider(s) to ensure payroll is process accurately and timely. Address employee questions and concerns in an efficient manner. Plays a lead role in working with internal and external auditors for payroll and workers compensation audits. Acts as the primary liaison to our 401(k) provider and manages year-end compliance activities, ongoing reconciliation, and required reporting. Records employee information, such as exemptions, transfers, and resignations, to maintain and update payroll records. Collects timecards each pay period. Issues and records adjustments to pay related to previous errors or retroactive increases. Provides information to employees and managers on payroll matters, tax issues, and benefit plans. Keeps informed about changes in tax and deduction laws that apply to the payroll process in all states that we operate. Registers with new states as needed. Research and resolve tax agency notices. Integrate with Finance and HR. as required, for problem solving and ad hoc reporting. EDUCATION, EXPERIENCE Bachelor’s degree in related field – Finance, Accounting, Business, required. Five or more years of US Payroll experience required, experience with Canadian payroll is preferred. Certified Payroll Professional (CPP), preferred. KNOWLEDGE, SKILLS, ABILITIES Motivated individual with excellent interpersonal, and verbal/written communication skills. Pays relentless attention to details. Cares about executing work at the highest level. Working knowledge of principles and procedures for benefits/payroll administration. Hands-on experience with Microsoft Office Products (Outlook, Word, Excel and PowerPoint), HR systems (Workday, ADP, etc.) experience preferred. Experience with Multi-state payroll operations. Strong knowledge of related state and federal regulations. An ability to set priorities, multi-task and remain focused within a rigorous, fast-paced and quickly changing environment. Demonstrated skill in building constructive relationships with people at all levels in the organization. Ability to maintain a high level of confidentiality at all times and comfortable handling confidential information.
