Summary

We are seeking a friendly, organized, and capable Professional to join our team. The Receptionist/Office Coordinator will serve as the first point of contact for our law firm, delivering exceptional customer service to our clients and visitors. This role involves managing the front desk, greeting clients, providing administrative and calendar support for our attorneys and handling inquiries in a courteous and efficient manner. This position is essential to maintaining a productive working environment and smooth operation of our office and supporting our legal staff. This position will also be responsible for enhancing our efficiency and client service.

Responsibilities

  • Welcome and greet visitors, ensuring a positive and professional first impression.
  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Maintain the reception area and other common areas, keeping them clean and tidy at all times.
  • Coordinate appointment schedules and manage meeting room bookings.
  • Handle incoming and outgoing mail and packages.
  • Assist with various administrative tasks such as filing, data entry, and preparing documents.
  • Support attorneys and legal assistants as needed with clerical assistance.
  • Implement and maintain office policies and procedures to ensure operational efficiency.
  • Coordinate office supplies and maintain inventory levels.

Requirements

  • High school diploma or equivalent.
  • Capacity to work independently and as a team member
  • Proven experience in a customer service position and office management role.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to handle sensitive information with discretion.
  • Excellent communication skills, both written and verbal.
  • Bilingual skills are a plus but not required.
