What are the responsibilities and job description for the Director of Operations position at GRAAHI?
Under the leadership of the Chief Executive Officer, the Director of Operations serves as a member of the GRAAHI management team will be responsible for various operational tasks and projects with both internal and external facing relationships, overall vendor management, and assisting with supporting some of the development and program development responsibilities and needs. Will assist and support the development and implementation of processes and best practices, participate in helping to enrich and sustain the healthy and active team culture and work environment, and the quality of customer service provided. The position will also be responsible for human resources management and administration; including recruitment, development, and engagement of GRAAHI talent.
RESPONSIBILITIES
Strategic Planning:
- Work with the executive team to set strategic goals and translate them into operational objectives.
Managing Daily Operations:
- Oversee the day-to-day activities of the organization, ensuring that all operations run smoothly and efficiently.
- Work closely with stakeholders, including the board of directors, donors, program managers, and community partners.
- Assist in supporting the organization's communication flow to ensure clarity, understanding, and successful implementation.
- Develop plans for potential emergency situations in the GRAAHI building and procedures for handling those situations.
Human Resources Management:
- Manage staffing and recruitment process.
- Process payroll and benefits administration.
- Perform periodic review of HR policies, procedures, and Employee Handbook.
- Provide staff training and development and assist with monthly staff meetings.
- Complete onboarding tasks for new staff.
- Ensure offboarding tasks of staff exiting the organization, e.g., collection of equipment, keys, benefits cards, turning off access, changing passwords, etc.
- Lead employee engagement activities and initiatives.
Developing and Implementing Policies:
- Create and enforce policies and procedures to ensure effective and efficient processes.
- Identify areas for process improvement and efficiencies, and work with the leadership team and others to create, implement, and monitor improvement plans.
- Create user documentation and maintain ongoing documentation of standard operating procedures as business needs evolve, change or new features are added.
Resource Management:
- Ensure that the necessary resources are available to achieve the organization's objectives.
- Serve as the main point of contact with service vendors to coordinate and negotiate contracts, payment of services, troubleshoot issues, and work with appropriate vendor for timely resolution.
- Purchase materials and supplies needed by the GRAAHI staff and participants, manage, and plan the inventory, and oversee overall process efficiency.
- Serve as the IT liaison for any computer and technology needs on behalf of GRAAHI staff and participants to help ensure technology is successfully implemented and works optimally.
Volunteer Management:
- Develop policies and procedures for recruiting, managing, and retaining volunteers.
Compliance:
- Ensure the organization complies with all legal and regulatory requirements.
Collaboration:
- Assists with the planning, coordination, logistics, and execution of fundraising, special events, third-party events, and donation drives.
- Assists the Program Director with grant management needs, including database reporting and maintaining the grant spreadsheet for reporting and data management needs.
QUALIFICATIONS:
- Educational Background: A bachelor's degree in business administration, nonprofit management, or a related field.
- Experience: 2 years of experience in operations management or a related field, preferably within the nonprofit sector.
- Knowledge of Nonprofit Operations: Understanding of nonprofit dynamics, including fundraising, grant management, and compliance with regulatory requirements.
- Leadership and Management: Ability to lead teams and manage daily operations effectively.
- Communication: Strong verbal and written communication skills to interact with staff, volunteers, and stakeholders.
- Strategic Planning: Skills in developing and implementing policies and procedures.
Problem-Solving: Ability to address operational challenges and improve processes.

Pay: $50,000.00 - $90,000.00 per year
