Overview
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will play a vital role in ensuring the smooth operation of our office by managing various administrative tasks, supporting our ministry teams, and facilitating effective communication across all programs. This position requires a proactive individual with strong organizational skills and the ability to multitask in a fast-paced environment.
Responsibilities
- Manage and maintain office and website calendars, scheduling appointments and meetings and all church events efficiently.
- Oversee day-to-day office operations, ensuring a productive work environment.
- Ability to effectively communicate via phone, email and enduring all administrative duties are completed accurately and delivered with high quality and in a timely manner.
- Manage phone system, all office equipment and order supply inventory
- Handle sensitive information in a confidential manner
- Take notes at Staff meetings and attend Worship Planning Meetings to relay communication needed for all upcoming events.
- Manage Realm, Planning Center, Constant Contact and NextGen social media/website page, alum with all internal communications.
- Schedule facility rentals, reservations and van use.
- Admin support for NextGen ministry
- Process all incoming and outgoing mail and deliveries
- Book travel as needed
- Manage all Ministry Safe paperwork / data / background checks that are needed.
- Manage all event registrations
- Reconcile Credit Card Statements monthly
- Maintain office lobby and decor as needed
- Organize and order all meals needed for meetings and events
Skills
- Proficiency in calendar management and scheduling tools.
- Strong organizational skills with attention to detail.
- Experience in team management and supervising staff members.
- Knowledge of vendor management processes and best practices.
- Ability to plan events effectively while managing multiple priorities.
- Excellent communication skills, both verbal and written.
Education and Experience
This position requires a minimum of 3 to 5 years experience in an administrative position either in a church or business environment. The successful individual will have an advanced knowledge of Microsoft Office, Gmail and Google applications. This person is required to have extensive knowledge in website updates and social media management. Have the ability to mulit-task and have excellent written and verbal communication skills. High School diploma required.

- Be a member of Grace Community Church and be willing to sign Grace’s Statement of Faith.
- Because of the nature of the role, this person must demonstrate a high level of trust and the ability to protect the reputation and integrity of others through strict confidentiality. Will be required to sign a confidentiality agreement.
- Additionally, the willingness to learn new skills, work as a team player, and overall dependability/accessibility are very important.
