We are currently seeking an office receptionist/coordinator for our office in The Woodlands, Texas. Job Summary
The receptionist/coordinator is responsible for managing construction schedules, coordinating project reporting to clients, managing resource requirements. Provide schedule analysis and progress reports. As the office receptionist/coordinator you will help the office manager with duties regarding all residential and commercial projects. From pulling permits, to calling inspections; to also inputting data into our Simpro company system.
Essential Functions
- Build strong relationships to understand demands of builders through effective communication via phone, text, and email
- Assist in developing Electric construction crew schedules
- Coordinates logistics of day to day operations
- Communicates with field and crews to evaluate job progress
- Inspect and monitor all emails carefully to ensure project execution
- Directs purchase orders in Simpro
- Audit labor entries and clear pending tickets prior to invoicing.
- Research and offer solutions to billing discrepancies and disputes.
- Maintain the highest levels of customer care while demonstrating a friendly and cooperative attitude
- Produce and process on-site work tickets as required. Update and complete work tickets.
Required Skills & Experience
- Strong prioritization and organizational skills; detail-oriented
- Strong working knowledge of Microsoft programs such as Excel and Word
- Excellent verbal and written communication skills
- Strong work ethic with a sense of urgency and initiative
- Ability to multi-task and maintain professionalism in high stress situations
- Computer Skills
- Logistics or Dispatching experience (preferred)
- Experience with the electrical industry (preferred but not required)
- Experience with Simpro (preferred)
- Bi-lingual (English - Required) (Spanish - Preferred)
