How You Will Serve at Grace:
Position Summary
Located at the Latham campus and reporting to the Pastor of Missions, the Missions Coordination Specialist provides comprehensive administrative and operational support to advance the overall mission and philosophy of Grace Fellowship’s mission program. This role encompasses administrative duties, financial management, relationship cultivation with mission partners, and active involvement in planning and supporting short-term missions. The incumbent will ensure smooth program execution and maintain adherence to budgetary guidelines while fostering a vibrant and impactful missions program.
This is a 40-hour per week, full-time position requiring a deep commitment to the mission of Grace Fellowship, strong organizational skills, and the ability to work both independently and collaboratively. This position is non-exempt.
Primary Responsibilities
- Administrative Support:
- Approve and process expenditures through the electronic system in alignment with organizational policies.
- Purchase approved items and supplies necessary for mission trips, ensuring timely delivery and cost efficiency.
- Maintain up-to-date records in the database, generate reports, and ensure data accuracy and integrity.
- Create, update, and maintain spreadsheets to track mission-related data and ensure accessibility for reporting or analysis.
- Copy, collate, and organize handout materials for mission trips to ensure readiness for team use and participant engagement.
- Financial Oversight:
- Process incoming monetary support from trip participants and other contributors, ensuring accurate documentation and allocation of funds.
- Monitor utilization of funds with adherence to budget spending levels and ensure authorization of all expenditures and annual support to mission partners.
- Assist the Pastor of Missions in developing the annual plan for fund distributions.
- Mission Trip Planning and Execution:
- Develop and coordinate short-term mission trips under the guidance of the Pastor of Missions, including coordinating with host partners, drafting training materials, creating team meeting agendas and itineraries, and purchasing airline tickets.
- Participate in short-term mission trips, when appropriate, to provide on-the-ground support and coordination.
- Relationship Building:
- Actively cultivate and maintain ongoing relationships with mission partners through regular communication and collaboration.
- Send annual “update applications” to mission partners to ensure alignment with Grace Fellowship’s mission goals.
- Program Promotion:
- Assist the Pastor of Missions in promoting short-term missions through effective communication and marketing strategies, including leveraging social media platforms.
- Revise and distribute documents relevant to the missions program to ensure clarity and consistency in communication.
- Facility and Resource Coordination:
- Communicate and collaborate with internal and external stakeholders to ensure that physical resources and materials are available and well-maintained for all missions-related activities.
What You’ll Bring:
- Education and Experience:
- Associate’s degree from a 2-year college and/or sufficient related experience in administrative roles or Christian missions.
- Experience associated with international mission trips and partnerships is preferred.
- Technical and Administrative Skills:
- Proficiency in Microsoft Word, Excel, Google Docs, and database management systems.
- Superior understanding of and ability to leverage social media platforms for program promotion.
- Exceptional attention to detail with the ability to manage multiple tasks and meet deadlines.
- Interpersonal and Communication Skills:
- Strong interpersonal skills with the ability to work effectively with a wide range of individuals, including mission partners, volunteers, and church staff.
- Excellent verbal and written communication skills, with the ability to draft clear and effective materials.
- Personal Attributes:
- Ability to make decisions independently with limited oversight.

- The Church: The true Church consists of all such persons who, through saving faith in Jesus Christ, have been regenerated by the Holy Spirit and are united together in the Body of Christ of which He is the Head
