A Day in the Life: Deliver comprehensive administrative assistance to the Regional Leader, guaranteeing seamless operations and superior client interactions. Responsibilities encompass front desk management, visitor reception, calendar coordination, and oversight of office maintenance and supplies. JOB TITLE: Executive Assistant

 

REPORTS TO: Eastern Nebraska Regional Vice President and General Manager

 

PURPOSE: The purpose of this job is to support the Regional Leader with administrative tasks. This position will also serve as the office administrator. 


JOB DUTIES:

  • Provide general administrative support to the Regional Leader
  • Sits at the front desk of the office; greets all visitors, clients, and vendors in a positive way on behalf of Graham Construction by making a welcoming impression
  • Drafts emails, notes, manages calendar, and schedules meetings/ appointments on behalf of the regional leader
  • Coordinates great client experiences through professional interactions utilizing excellent written and oral communication skills
  • Conducts clerical duties, including filing, answer all incoming phone calls in a professional manner and directs those calls to the appropriate person.
  • Oversees professional operation and appearance of office; performs daily inspection walks throughout the office, conference room, and core purpose room
  • Ensures operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques, (i.e. entering codes for tracking use, ordering toner, loading paper, ensuring an adequate paper supply is available and clearing jams.)
  • Manages and distributes in-coming & out-going mail, faxes, UPS and other deliveries
  • Orders and maintains office & kitchen supplies and equipment, coordinates budget with Regional Vice President
  • Maintains stock and organization of employee supply closet
  • Coordinates great employee atmosphere by maintaining the general tidiness of office and employee needs
  • Preforms tasks and training for employee onboarding
  • Orders and manages employee wellness snacks and drinks
  • Prepares Regional Vice President’s expense report for review
  • Manages and organizes monthly office functions (birthdays/new employee socials)
  • Participates in staff development activities.

 

JOB REQUIREMENTS (Knowledge, Skills, & Abilities):

  • High school diploma or GED equivalent required and a minimum of 2 years supporting an executive-level leader
  • Extensive knowledge of Microsoft Suite and other administrative programs
  • Outstanding communicator, both orally and written
  • Excellent customer service skills
  • Comfortable with a fast-paced environment
  • Self-starter who works well independently
  • Ability to prioritize given tasks and work efficiently towards completing them
  • Detail-oriented and exceptional organizational skills
  • Ability to manage multiple calendars
  • Strong problem solver and analytical thinker
  • Professional demeanor
  • Valid driver’s license
  • Ability to pass physical capacity profile
  • Ability to take and pass OSHA 30 certification
  • Ability to travel to regional meetings (4 meetings/per year, overnights not required)
  • This is an onsite role. Must have the ability to report to our Omaha, NE office Monday – Friday.
  • Monday – Friday 8:00 a.m. – 4:30 p.m. hours required due to business need.
