POSITION OVERVIEW : The Events Coordinator will support the Events Manager in the planning, coordination, and execution of Granby Ranch events. This role involves a mix of administrative, operational, and hands-on tasks to ensure all events run smoothly and create memorable experiences for guests.
This is initially a full-time, seasonal summer position with the potential to transition into a full-time, year-round seasonal role. Year-round seasonal employees will have 2-6 weeks off during each spring and fall shoulder season (October, April & May) , making it a great opportunity for those interested in extended travel or seasonal flexibility.
ESSENTIAL JOB FUNCTIONS :
Event Execution :
- Assist with event setup and teardown and execution, ensuring all logistics are completed efficiently.
- Help manage event check-in tables & registration.
- Facilitate arts and crafts activities and events for children and families.
- Assist with preparing and distributing prizes, swag, and promotional items.
- Oversee and assist with varying tasks during events, ensuring smooth operations.
Community Engagement :
Represent Granby Ranch at off-site community events, such as the Fourth of July Parade, local music and market events, and orientation days.Distribute flyers and marketing materials to local businesses and community centers.Decorating & Holiday Coordination :
Assist with planning, organizing, and executing seasonal and holiday decorations.Help maintain a festive and engaging atmosphere for all seasonal events.Administrative & Marketing Support :
Collaborate with the Events and Marketing teams to promote events through social media, newsletters, and local channels.Assist with creating flyers, promotional materials, and event signage using design software or basic graphic tools.Process administrative tasks such as check requests, maintain spreadsheets, and organizing event-related data.Manage event supplies, maintain an organized inventory, and ensure timely reorders.Create and update chalkboard signage to align with event themes and branding.Utilize the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for administrative tasks; graphic design experience (e.g., Canva, Adobe Creative Suite) is a plus.Customer Service :
Act as a point of contact for event participants, providing exceptional customer service during all interactions.Assist guests with event-related questions and ensure a positive experience.Sponsorships :
Identify, source, and secure sponsorship opportunities to support Granby Ranch events.Develop and maintain relationships with sponsors, ensuring clear communication and strong partnerships.Ensure sponsorship partners align with Granby Ranch’s branding, mission, and target audience to maintain a cohesive and authentic guest experience.Coordinate the fulfillment of sponsorship agreements, including branding, on-site presence, and promotional benefits.Work closely with the Marketing team to ensure sponsors receive proper recognition across digital, print, and on-site materials.Track sponsorship deliverables, ensuring all commitments are met before, during, and after events.Seek new sponsorship opportunities and develop strategies to enhance sponsor engagement and retention.Requirements : QUALIFICATIONS :
Strong organizational and multitasking skills.Positive, outgoing attitude with excellent communication skills.Ability to work in a fast-paced, high-energy environment.Ability to adapt to changing weather conditions, event timelines, and on-site needs with a proactive and solution-oriented approach.Comfortable working with children and families.Flexible schedule, including weekends, evenings, and holidays.Experience in events, hospitality, or a related field is a plus.PHYSICAL REQUIREMENTS AND WORKING CONDITIONS :
