The EMIS and Data Coordinator plays a vital role in ensuring the accuracy and integrity of student and staff data for Grandview Heights Schools. Reporting to the Chief Technology Officer, this position is responsible for managing the district’s Education Management Information System (EMIS) reporting, student enrollment processes, and residency verification. The ideal candidate will have a strong understanding of Ohio’s EMIS system, proficiency in data analysis and reporting, and the ability to collaborate with administrators and staff to maintain compliance with state and federal reporting requirements. Report to:  Chief Technology Officer (CTO)

 

Terms:  260 days

 

Salary:  based on experience

 

Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in a related field preferred.
  • Comprehensive understanding of Ohio’s Education Management Information System (EMIS) and related compliance processes.
  • Proficiency with Ohio District Data Exchange (ODDEX).
  • Experience with student management software such as PowerSchool preferred.
  • Advanced computer skills, including word processing, spreadsheets (formulas and functions), basic coding and markup understanding, and database management (development, queries, reporting, and forms).
  • Knowledge of statistics, research methodologies, and data analysis.
  • Alternative qualifications as determined appropriate by the Superintendent and/or Board of Education.
  • Successful completion of FBI and BCI background checks.

Essential Job Functions:

 

EMIS Responsibilities:

  • Develop and maintain processes for querying, importing, exporting, and analyzing data.
  • Ensure timely and accurate submission of district fiscal, staff, and student EMIS data during Ohio Department of Education (ODE) collection windows.
  • Assist in validating and reporting staff and financial EMIS data.
  • Support the development and maintenance of the district’s student data systems.
  • Verify student data and establish processes to maintain accuracy, including areas such as SSID, CTE, ESL, CCP, KRA, and program coding.
  • Develop protocols, policies, and procedures to ensure data accuracy.
  • Provide periodic ODE/EMIS reports to the administrative team.
  • Offer support and data analysis to the administrative team as directed by the CTO.
  • Collaborate with building administration to annually track teacher licensure (TLCS) and position coding.
  • Work cooperatively with staff members whose duties depend on student data.
  • Create user-friendly reports, charts, and graphs to illustrate data trends for stakeholders.
  • Maintain professional relationships with EMIS professionals at local and state levels.
  • Serve as the primary contact with ODE and the Information Technology Center (ITC) regarding EMIS issues.

Registration Responsibilities:

  • Coordinate enrollment for all new K-12 students in the district.
  • Communicate the enrollment process to the community.
  • Maintain accurate FAQs on the enrollment process for internal and external stakeholders.
  • Manage school registration processes and provide training to buildings.
  • Generate monthly enrollment reports.
  • Develop and maintain PowerSchool Enrollment Express and ECollect Forms for enrollment, and other forms as needed.

 

Residency Responsibilities:

  • Document information to verify or dispute students’ residency determinations.
  • Investigate primary residency evidence and report findings to the Superintendent.
  • Ensure timely and proper reporting of residency status to ODDEX.

 

Collaboration:

  • Participate in the technology committee, data meetings, and other groups and organizations as assigned.
  • Engage with external service providers as needed, including vendors, leasing agents, technicians, and state consultants.
  • Design and coordinate training programs for staff without technical backgrounds.
  • Educate and train staff on student data entry procedures and policies.
  • Pursue continuous professional development, including attending workshops and training from ODE, ITC, and other vendor opportunities.
  • Assist in developing a department budget related to office operations.
  • Be a member of and participate in meetings hosted by Ohio Association of EMIS Professionals (OAEP).
  • Participate in Central Ohio Registrars Association meetings.

 

Other Duties and Responsibilities:

  • Maintain appropriate personal appearance.
  • Adhere to all safety, health, and confidentiality regulations of the school district.
  • Serve as a role model in practicing ethical principles, empathy, responsible behavior, and democratic values.
  • Perform other duties as assigned by the Superintendent or designee.

  • Ability to organize and prioritize work effectively.
  • Strong oral and written communication skills.
  • Sound judgment and problem-solving abilities.
  • Ability to work cooperatively with all staff and interact positively with staff, students, and the public.

 

Salary : $62,000 - $72,000
