Overview
The EMIS Data Support Technician is responsible for managing and verifying student data through the Education Management Information System (EMIS) and serving as the primary contact for charter and community school data. The role includes supporting various district systems like Registration Gateway, ensuring data accuracy across areas such as special education, student programs, and economically disadvantaged reporting. This position requires collaboration with district departments, maintaining SIS security, developing reports, and assisting with training. Additionally, the technician will interpret EMIS requirements, attend relevant meetings, and communicate with staff to ensure compliance and timely submission of data.
Qualifications
A minimum of three (3) years of successful professional experience in utilizing Excel, with knowledge of database management
Possess a deep understanding of ODEW software applications, including EMIS or equivalent uniform school-accounting system
Knowledge of SIS such as PowerSchool
Ability to input, analyze, interpret, and make corrections within student databases
Duties
Verify and maintain State Student Identification numbers for all students through the State Student Identification System (ODE) website
Serve as the main contact point for all charter/community school data, including registrar communication, verifying students in the ODDEX/SOES system, flagging students, and generating the monthly community school report
Assist with updates, training, and maintenance of Registration Gateway, Docushare, and related systems for online enrollment purposes
Support the data team by verifying and processing data report requests from staff, ensuring accuracy before submission
Track and report economically disadvantaged data for the district
Ensure data reporting accuracy across the district in areas such as special education, student programs, grades, credits, summer school, out-of-district students, residency, and HQT status.
Liaise with the enrollment center to facilitate accurate student data processing
Cover for the designated SIS contact, creating student emails and IDs upon enrollment when needed
Support the development of reports and the integration of third-party software applications with the SIS
Assure that all tasks related to EMIS reporting systems are filed in an accurate and timely manner
Monitor SIS database activities and performance to ensure the security and reliable operation of the system
Expectations
- Communicate and/or train staff at each building regarding Special Programs, including Extra
- Curricular activities
- Assist in interpreting EMIS reporting requirements for the school district
- Attend EMIS meetings, workshops, and seminars to stay updated on relevant information and maintain accurate district data
- Contact resources such as the Special Education Resource Center, Department of Education, and META to obtain further information and interpretations when necessary
- Collaborate with the SIS/EMIS Specialist to provide assistance and training to district personnel as needed
- Ensure accurate reporting of court-placed students for proper funding allocation.
- Cross-train in other areas when appropriate to provide backup support
- Send communications and directives to building personnel regarding required EMIS data and timelines for completion
- Coordinate with Human Resources, Special Education, payroll, ESL, and Gifted Education to ensure accurate reporting of data
- Review reports provided by the Ohio Department of Education to identify errors in data, such as staff data, special education, or gifted programs
- Actively seek out diverse perspectives, advocating for marginalized groups, and creating a supportive and inclusive work environment where all individuals have equal opportunities for success
- Uphold compliance with all Board policies
- OTHER CONDITIONS:
- Frequent, repetitive hand use (e.g. typing reports, entering data into EMIS and navigating various software systems, etc.)
- Occasional local travel (e.g. visits to school buildings for data validation/training and attending district-level meetings)
- Occasional late afternoon/evening work (e.g. attending and/or facilitating SIS-related sessions)
