Essential Functions
The job duties and responsibilities of the position include, but are not limited to:
Administrative
- Provide a wide range of administrative support to the Chief Executive Officer
- Coordinate logistics for internal meetings and events
- Serve as the point person with internal facilities/venue staff
- Work with Marketing and Events Manager on external events including meeting notifications, agendas and other documents, prepare meeting minutes and/or notes
- Act as the first point of contact for most interactions in person, via phone and e-mail.
- Employ discretion to direct calls, emails, correspondence, and general inquiries
- Interface with the Board of Directors and other community partners
- Maintain organizational database for general contact and event outreach
- Maintain office calendar
- Office operations including supply and asset inventory including vehicle maintenance schedule
- Additional administrative tasks and staff support as needed
Programmatic
- Facilitate organization program timeline to ensure operational efficiency
- Participate on special projects, liaison with external partners and serve on related committees
- Work with Development Manager to collect and report data
- Participate in staff meetings and grant review
Project Management
- Assist CEO (and other organizational leadership as identified) in defining project scope, creating details timelines, monitoring progress and aggregating data
- Track deliverables and milestones
- Identify and address project issues
- Maintain communication on project status
- Assist with conducting postmortem analysis
- Finalize project deliverables and documentation
Competencies and Qualifications:
- Bachelor’s degree required.
- Minimum five years administrative experience in a professional office environment required.
- Excellent interpersonal communication skills and ability to interface with organizational leadership and community partners.
- Experience with data collection and reporting preferred
- Proven experience in organizational roles (project management, administration, or similar).
- Analytical and problem-solving skills
- Excellent time-management skills with ability to prioritize and multi-task effectively
- Strong written and verbal communication skills.
- Proficiency in MS Office with expertise in Outlook, Microsoft Word, PowerPoint and Excel
- Familiar with social media platforms
- Organized, efficient and resourceful and have excellent oral and written communication skills.
