Operations Team
Operations Team performs various supportive tasks of an organization. They are often seen responding to clients' queries and calls, arranging appointments, answering inquiries within the office, and keeping every transactional record among patients.
As well as handling maintenance issues and providing administrative support as needed.

Job Description
The Programs Support Specialist schedules patient appointments, greets patients and visitors, answers and directs phone calls, works referrals, checks patients in and out, verifies insurance eligibility and assists in general office duties.
The Programs Support Specialist also supports the programs team with prior authorizations, scheduling, and supervision tracking, Individual must also be flexible, organized and must be able to manage a demanding workload with accuracy.
Duties and Responsibilities
Front Office Support
- Answer incoming calls and deal with inquiries
- Greet and check in patients
- Assist patients to complete all necessary forms and documentation including medical insurance
- Ensure patient information is accurate including billing information
- Collect co-pays and payments
- Assists with coverage in all front office areas as needed
Programs Support
- Support BCBA's with submitting, inputting, and tracking prior authorizations
- Manage programs waitlist and schedule intakes
- Help with staff schedule to ensure coverage in case of callouts, schedule changes, etc.
- Schedule parent meetings
- Help with translation for parent meetings, patient visits, and outgoing communication.
- Update supervision tracking system
ATAP Post Doc Support
- Communicate with ATAP regarding patient referrals, waitlist status, scheduling, and reports
- Manage incoming referrals from ATAP and schedule for post doc
Requirements :
Educational Requirements
High School Diploma or equivalency
Qualifications
- Two years in the medical field to include front office, appointment scheduling and referral authorization.
- Knowledge of health plans, eligibility and guidelines.
- Demonstrated ability to read, write and speak English and Spanish.
- Demonstrated ability to use a computer.
- Minimum typing speed of 35 wpm.
- Experience with the Seriously Mentally Ill population preferred.
Physical Requirement
- May include standing, sitting, and / or walking for extended periods
- May include performing repetitive tasks
- May include working on a special schedule (i.e. evenings and weekends with clients)
- May include working with challenging patients and clients
