About the Role:
We are seeking a highly organized and detail-oriented Events Coordinator to join our dynamic team. This role requires strong communication skills, a passion for event logistics, and the ability to thrive in a fast-paced environment. You will play a key role in managing our events, working closely with executives, clients, and partners to ensure seamless execution.
Responsibilities:
- Provide daily, weekly, and monthly updates on ticket sales for Growth Con/Boot Camp, reporting directly to executives.
- Manage all event logistics, including coordinating venues, suppliers, and team members.
- Maintain event progress reports, updating schedules and commitments as they occur.
- Schedule meetings, take detailed notes, and send timely meeting recaps.
- Communicate professionally with clients and partners; manage event registration, respond to attendee queries, and make adjustments as needed.
- Handle the ordering and collection of all event supplies and materials.
- Analyze registration data to set event pricing and early bird rates based on historical trends.
- Ensure accurate bookkeeping and post-event reporting.
- Coordinate with the marketing and PR teams to promote events via social media, email campaigns, and website updates.
- Write and review email communications regarding event details, new offers, and other promotions.
- Develop RFPs (Request for Proposals) for venue and hotel selection, negotiate contracts, and confirm event logistics.
- Collaborate with vendors (AV, production, etc.) to ensure smooth event execution.
- Create contingency plans and ensure compliance with all relevant regulations and insurance requirements.
- Assist in sponsor relations, ensuring contracts are fulfilled and payments are made on time.
- Travel up to 20% of the time for event coordination.

- Bachelor's degree in Business, Communications, Public Relations, or Advertising.
- 1 years of event coordination experience.
Additional Details:
- Location: Candidate must reside in the Miami area (within 30 minutes of our Aventura office).
- Travel: Flexibility to travel and work weekends as required for event support.
