Grant’s Farm is looking to hire a talented and motivated Events Coordinator to organize outstanding and unforgettable events. This person will be responsible for all parts of event preparations and execution, such as client, internal coordination, and vendor relationships, menu approvals, developing seating and décor plans, scheduling a team, and evaluating success afterward. The successful person in this role will be well-organized and possess a sound knowledge of vendor management. Excellent communication and attention to detail skills are vital in this role, as our success depends on meeting our client's tailored requirements.
Essential Job Duties
- Review all incoming event inquiries to convert to booked events.
- Coordinate all aspects of the event booking, ensuring a smooth client experience while maximizing revenue by upselling additional services and packages.
- Understand client needs, event objectives, and budget to propose suitable event packages and customize offerings.
- Maintain event budgets and work with vendors regarding payments and follow ups.
- Conduct tours of event spaces, highlighting features and capabilities to potential clients.
- Manage all event set-up, tear down, and follow-up processes.
- Book venues, entertainers, photographers, and schedule speakers as needed.
- Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
- Assess an event’s overall success and present findings.
- Maintain an accurate event management software.
- Work with internal teams like operations and catering to ensure seamless execution of the event, including vendor management and logistics.
- Manage multiple event bookings simultaneously while maintaining attention to detail.
- Build a rapport with clients, effectively present information, and handle inquiries.
- Schedule and lead a team for event execution.
- As a member of a leadership team this person would participate in Manager on Duty shifts
- Other duties as assigned.
