Grant Thornton is seeking an Office Manager to join the team in Manhattan, NY.
The Office Manager, Workplace Solutions (WPS), supervises and coaches the administrative team across one or more medium/large-sized office locations under the guidance of their respective Director, Workplace Solutions (Director). This role may also provide administrative support to office leadership, and oversees local office facilities activities, with others as defined. The Office Manager will report to their Director, with dotted-line responsibility to the Market Managing Partner (MMP).
The person in this role must possess excellent communication and organizational skills, be collaborative in their working style, develop strong and trusting relationships with colleagues, and possess the ability to create and maintain a team culture with a commitment to unparalleled support services. The Office Manager will be well-versed in procedures and policies and will be able to actively discover new ways to do the job more efficiently.
The position is on-site and requires the Office Manager to be present in the Manhattan office 5 days per week.
Responsibilities:
- May provide administrative support to office leadership.
- Supervise and coach the office administrative team.
- Develop and maintain a strong relationship with the MMP. Consistently communicate feedback, areas of focus, issues to resolve, updates on the team, the office, etc.
- Proactively solicit feedback from the MMP and PPMDs regarding performance and gain an understanding of potential changes in business needs.
- Meet regularly with individuals on the team to understand and assess workload and challenges and align administrative team’s skill set with internal client’s expectations and overall business requirements.
- As a coach, provide continuous and ongoing performance feedback.
- Drive the development process through mentoring, coaching, recommending appropriate training based on areas for development, and finding projects that capitalize on team member’s strengths.
- Identify and assign coverage during planned or unplanned absences and seek to collaborate with others in Workplace Solutions when necessary.
- Office and facility management:
- Manage relationships with building management, security, engineering and outside vendors.
- Manage all aspects of the office, including facilities, supplies, appearance/cleanliness, seating, etc.
- Assist with new hires and their onboarding, including, but not limited to, administrative support alignment.
- Plan office events, both social and business related.
- Adhere to firm procedures and work with national groups as necessary (e.g. Enterprise Transformation, Firm Security, Procurement/Buy@GT, Real Estate and Facility Services).
- Serve as Accounts Payable/Authority to Approve processor within Ariba, in alignment with national and regional guidelines.
- Demonstrate advanced skill with firm technology, conference room audio-visual equipment, and firm issued mobile devices. Have strong knowledge of firm’s Enterprise Transformation structure and processes along with the ability to escalate issues accordingly.
- Maintain a solid knowledge of firm information governance and record retention policies.
- Anticipate and prioritize customer service needs/administrative needs and deliver high quality service and results.
- Understand the firm’s service lines, industries and client engagement structure in order to work effectively with stakeholders and clients.
- Communicate effectively and professionally with all levels of client personnel and client service personnel.
- Serve as a team player and display an interest in becoming a subject matter expert in subjects of interest. Participate in relevant firm sponsored training and seek out training as appropriate.
- Proactively communicate issues, challenges and solutions upward to their Director on office and team performance, as well as communicate individual and/or team successes.
- Other duties as assigned.
Requirements:
- 5 years of supervisory experience or relevant experience
- Strong facilities management experience necessary
- Familiarity with facilities management principles
- A team player with leadership skills

- Ability to handle confidential information
- Proficient in MS Office Suite
- Required to be in the Manhattan office 5 days per week
The base salary range for this position in the firm’s New York, NY offices only is between $95,000 and $142,600 per year.
Salary : $95,000 - $142,600
