Job Summary
We are a growing Landscaping and Hardscaping Maintenance, and Design Build Installation company seeking a dedicated and detail-oriented individual to join our team as Production Administrative Assistant. In this role, you will assist our Director of Operations in a variety of tasks including job scheduling, material ordering, fleet management, etc. The ideal candidate is an excellent communicator with strong multitasking skills and a passion for delivering exceptional client experiences.
Summary of Duties
- Assist with Timesheets (ensuring accuracy)
- Assist with uniform ordering
- Maintain Driver files (records, licensure, etc)
- Job Costing
- Monitor and report on actual hours vs estimated hours
- Assist in building out the maintenance and project schedule
- Contact customers to confirm scheduling/rescheduling
- Maintain maintenance log for trucks, machines, equipment
- Assist Director of Operations with material procurement & ordering
- Company meeting preparation/preparing reports
Skills
- Strong interpersonal and communication skills
- Excellent organizational and time-management skills, with the ability to prioritize tasks effectively
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM or project management tools
- Ability to handle multiple projects and deadlines with attention to detail.
- Problem-solving skills with a proactive approach to addressing client and operational challenges
- Experience maintaining accurate records and working with confidential information
- A team-oriented attitude with a commitment to building strong client relationships and supporting overall business success

Pay: $45,000.00 - $52,000.00 per year
