Gravie is seeking a proactive and highly intuitive Executive Assistant to provide strategic, anticipatory support to our CEO. Reporting directly to the CEO, this role is key in ensuring the seamless operation of the executive leadership team by anticipating the CEO’s needs and enabling them to focus on high-level strategic decisions. The ideal candidate will possess extraordinary foresight, be exceptionally organized, and have the ability to navigate complex situations with minimal direction.

The salary range for this position is $101,250 - $168,750 annually. Numerous factors including, but not limited to, educations, skills, work experience, certifications, etc. will be considered when determining compensation.

You Will
- Proactively manage the CEO’s time and priorities by anticipating their needs, identifying potential challenges before they arise, and taking preemptive action to ensure a smooth workflow. This includes staying ahead of the executive calendar, preparing materials, documents, and communications in advance.
- Handle highly sensitive company matters and confidential information with discretion and the highest level of professionalism.
- Manage high-priority decisions that affect the company's strategy and daily operations.
- Maintain a master calendar for the CEO, ensuring all meetings, events, and travel arrangements align with strategic goals. Anticipate scheduling conflicts and proactively address potential disruptions to ensure maximum productivity.
- Anticipate the needs of the Board of Directors by ensuring all meetings, presentations, and documents are prepared in advance with input from appropriate partners, allowing for smooth and efficient communication between the CEO and the Board. Serve as the point of contact for Board members, facilitating communication and administrative needs.
- Take the lead on special projects from the CEO by anticipating project requirements and providing full administrative and operational support. Monitor progress and ensure timely follow-up on tasks with minimal oversight.
- Anticipate and manage complex travel itineraries, ensuring the CEO travel is organized with efficiency and foresight. Handle expense reports and ensure that all logistics are proactively arranged to minimize disruptions to the executive’s schedule.
- Schedule and prepare for Executive Team meetings, ensuring all relevant materials are compiled in advance. Take proactive steps to ensure meetings are aligned with the company’s strategic priorities and that all follow-up actions are clearly defined.

- Bachelor’s Degree or equivalent experience.
- 5 years in an executive support role, ideally supporting a CEO in a dynamic, fast-paced environment where anticipating needs and staying ahead of priorities was critical.
- Strong organizational skills with an exceptional ability to anticipate the needs of the CEO and the Executive Team, identifying gaps and opportunities for greater efficiency before issues arise.
- Strong skills with MAC OS, Google Workspace, Microsoft Office Suite (Excel, PowerPoint, Word), and finance systems. Tech-savvy with the ability to quickly adapt to new tools and platforms that aid in executive support.
- Demonstrated ability to communicate effectively with internal and external stakeholders, drafting correspondence and preparing materials with clarity and precision.
- Excellent critical thinking skills, with a proven ability to proactively resolve challenges and anticipate solutions without requiring constant direction.
- An exceptional eye for detail in managing the CEO calendars, documents, and travel arrangements, ensuring everything is prepared ahead of time and without error.
- An ability to maintain composure and focus in a high-pressure, fast-paced environment, quickly adapting to shifting priorities while keeping the CEO ahead of their responsibilities.
- Previous experience supporting a Chief Executive Officer or another C-suite executive.
- Startup experience with a demonstrated ability to anticipate and react to shifting business needs in a fast-growing environment.
