Position Overview/Description:

The Proposal Coordinator is responsible for preparing proposals and providing support to the internal proposal department and sales operations. This role involves working closely with technical staff, preparing qualifications packages, marketing communications, managing information, conducting research, and ensuring the successful submission of proposals and bids.

Duties/Responsibilities:

• Proposal Preparation and Coordination:
  • Collaborates with internal teams to prepare proposals, ensuring quality control and timely delivery.
  • Coordinates proposal logistics, including the scheduling of internal reviews, pricing build-ups, and other key elements.
• Pre-Award and Post-Award Duties:
  • Pre-Award: Assists in the pricing build-out for proposal submissions.
  • Post-Award: Conducts audits with sales and operational management to assess the success of proposals, ensuring the appropriate margin and verifying alignment with the financial and operational conditions of the award.
• Sales and Operations Support:
  • Works directly with sales and operations teams to prepare interview materials, logistics, and any required presentations for client meetings.
• Documentation and Content Management:
  • Edits and maintains documents, including Statements of Qualifications, professional resumes, and project lists.
  • Coordinates and tracks Requests for Proposals (RFPs) and other opportunity searches.
  • Perform other related duties as assigned.

Required Skills/Abilities:

• Strong technical writing skills and familiarity with the RFQ, RFP, and proposal processes.
• Excellent organizational, proofreading, and editing skills.
• Ability to manage time effectively, organize tasks, and prioritize multiple projects simultaneously.
• Strong problem-solving skills with the ability to work independently.
• Proficiency in Outlook, Microsoft Word, and Excel.

Education and Experience:

• High School Diploma, GED, or equivalent.
• At least 3 years’ experience in the Environmental Industry
