Job Summary
The Proposal Coordinator would be asked to help facilitate the process of reviewing, organizing, scheduling, and managing our proposal progression. This role will be expected to participate in a few scheduled meetings each week but will mostly control their own schedule and will have significant flexibility. While this is currently a part time role, this position has significant growth potential, and can easily expand to full time through successful performance. Ideally an in-person role but may consider remote possibilities for the right candidate.
Specific duties will be related to tracking milestones and holding our internal team accountable for producing content requirements, but may also include
- Maintain and track proposal statuses, outcomes, and related documentation
- Help break down potential RFPs and grants into easy-to-follow checklists
- Ensure the accuracy and completeness of our submission packages
- Engage with partner firms to obtain documentation and/or direct support
- Validate style, message consistency, grammar and terminology of bid content
- Leverage collaboration tools, maintain document control and help develop templates to make the process easier for everyone.
The Proposal Coordinator will not be asked to write technical documents however the role may require assisting technical staff to communicate complex concepts through easily understandable written narratives and graphics.

- Strong interpersonal skills, with the ability to engage effectively with technical staff and partner firms, maintaining ongoing follow-up to ensure deadlines are completed
- Exceptional communication skills, providing timely responses and consistently following up driving outcomes
- Ability to read 50 page documents of dense text and pull-out key tasking and deadlines
- Highly developed organizational skills with the ability to multitask multiple proposals
- Ability to set appropriate work priorities independently
- Ability to review, format, print, bind, and mail proposals from our office
- Ability to write professionally, and edit others work
- Ability to work at a very high level within Microsoft Office Suite (Word, Excel, Outlook and PowerPoint), DocuSign and Adobe Acrobat.
Must pass criminal background check and be eligible to obtain FBI and Department of Defense clearance if needed in the future.
