Position Overview/Description:
The Sales Support Administrator will perform a variety of administrative and support functions that will help ensure smooth communication and operations between the sales team, clients, and other departments. The position includes tasks related to account management, data entry, client support, and ensuring timely execution of services.
Duties/Responsibilities:
- Build and maintain a strong working relationship with assigned Account Managers (AMs) and their accounts.
- Communicate effectively with Account Managers, Operations, and Clients regarding order status, service requirements, and any issues related to ongoing accounts.
- Follow up with clients to ensure timely resolution of issues, fulfill deliverables, and address service concerns.
- Provide high-quality communication and customer service to existing clients.
- Serve as the primary service contact for accounts with the support of the assigned Account Manager.
- Input and manage new client/company data into the system.
- Verify client information using the Department of Toxic Substances Control (DTSC) website or other applicable state/federal websites.
- Notify the Accounting Department of any changes to client details.
- Enter new and updated client price sheets as needed.
- Assist the Billing Department with entering pricing data.
- Support Account Managers in resolving pricing discrepancies.
- Submit new waste profile requests to the Profiling Group following established procedures.
- Copy and manage templated universal and medical waste profiles.
- Work with the Profiling Group or TSDF (Treatment, Storage, and Disposal Facility) to recertify expired profiles.
- Receive inventory and prepare sales orders as provided by sales representatives and/or clients.
- Handle incoming calls and emails, providing estimated pricing for small waste pickups.
- Ensure orders are processed on time and accurately, coordinating with various internal teams as needed.
- Communicate order status updates to Account Managers when required.
- File all necessary client documents in the Client Repository.
- Request final manifests from TSDF for clients upon request.
- Assist in preparing and organizing annual reports for the sales team and management.
- Generate and send required letters to the DTSC.
- Perform Internet research to support sales efforts and assist with desktop publishing for various sales and marketing materials.
- Schedule service appointments for clients, ensuring that services are provided according to their needs and timelines.
- Ensure that the Drivers' Schedule reflects accurate and up-to-date job assignments.
- Handle client or job updates based on communication received from the Operations team.
- Assist the site Operations Team and Executive Administrator as needed.
- Other duties as needed.

Education and Experience:
- High school diploma, GED, or equivalent required.
- One year of experience in a Sales Support, Administrative, or similar role.
