Job Overview:
We are currently seeking a Staffing Administrator to join our Booking Department. The ideal candidate will be responsible for the hiring, training, scheduling, and retention of off-premises event staff.
Responsibilities:
- Address all long-term staffing needs.
- Complete daily data entry and updates for events on our scheduling platform.
- Confirm all staff work details and inform them of any changes.
- Working on developing new scheduling protocols and procedures with on-call staff.
- Develop and maintaining relationships with temporary staffing agencies and transportation vendors.
- Ensure all time sheets, expenses, and sick hours have been submitted to payroll.
- Manage departmental invoices through Plate IQ and ensure timely payment.
- Monitor department costs, including unemployment, overtime, workers' compensation, disability insurance, and spread of hours.
- Manage all scheduling communication with Captains, Event Staff, and Event Directors/Producers.
- Communicate with captains regarding 'last-minute' changes and ensuring staff sheets are up to date.
- Handle short-term booking responsibilities, including managing staffing orders, handling changes, and coordinating for new events.
- Participate in the department on-call schedule.
- Attend catered events regularly to ensure staff engagement and adherence to Great Performances service standards.
- Assist with checking in staff on larger events and troubleshooting all issues of late or missing staff at events.
Qualifications:
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Strong organizational skills with attention to detail, ability to prioritize, and work effectively in an environment with competing demands.
- A sense of urgency, coupled with a friendly and diplomatic demeanor.
- Excellent verbal and written communication skills.
- Flexible and adaptable. Able to thrive in a fast-paced, ever-changing work environment.
- A self-starter and detail-oriented.
- Must be a team player, but also have the ability to work independently.
Location: NYC
Base salary: $70,000/year
